Position Based in Chepstow, hybrid‑working as part of a TXO Group Operations Team, and reporting to the Group Head of Trade Compliance, the Shipping & Logistics Executive is responsible for the effective delivery of the shipping within the Group.
Specific Responsibilities- Arrange shipments outbound and updating X3 with all relevant shipping information.
- Negotiate freight rates, provide quotations and ensure all freight invoices are correct.
- Assist the Group Finance Manager with preparing tariffs for customers, ensuring the required profit margins as directed by the company are achieved by providing shipping costs.
- Liaise with internal and external customers and third parties regarding shipments and queries.
- Prepare all shipping documents including but not limited to raising POs and commercial invoices.
- Resolve queries for sales orders held in customs whilst liaising with sales representatives and customers.
- Pre‑empt and prepare for problems relating to shipping to specific destinations.
- Provide proof of delivery upon request.
- Work with the Dispatch department to plan dispatches.
- Timely filing of all shipping related documentation.
- Liaison with the Finance team for the preparation of invoices ensuring shipping costs are calculated accurately and passed onto customer.
- Ensure the timely completion of all processes to arrange the shipment for each order when approved “Terms Ship” by Finance daily.
- Provide cover for inbound back‑to‑back purchases of stock as and when required.
- Via close networking with Carriers, provide the business with updates on information regarding the latest positions on Import/Export controls.
- Provide Sales/Sales Admin with guidance on documentation required for transit to specific regions.
- Network with Chamber of Commerce to ensure the steady flow of requested documentation and information.
- Advise line manager of areas of concern, where additional training may be required.
- Interface with other internal departments as required ensuring a high‑level quality of process.
- Responsible for personal Health and Safety and operating in a manner which is safe personally and for others.
- Follow all companies Policies and Procedures including but not limited to Quality, Health and Safety, Environmental and Information Security.
- The role is also expected to perform any reasonable requests which are not defined but in the ability of the individual.
- Proficiency in transportation management software is essential for managing freight logistics and ensuring compliance with customs regulations.
- Ability to evaluate logistics processes, determine resolutions, and implement changes quickly.
- Prioritising customer satisfaction and meeting needs at every stage of the logistics process.
- Understanding and utilising digital resources like GPS tracking software and inventory programs.
- Quick identification and resolution of issues to minimise disruptions in the supply chain.
- Utilising data analytics to forecast demand, track performance, and make informed decisions.
- Coordinating with various departments, suppliers, and partners for seamless communication and collaboration.
