TXM Recruit is currently supporting the recruitment of a Temporary Executive Assistant to CEO to provide high-level administrative and executive support within a busy senior leadership environment. This is a key role supporting the CEO with the effective management of their diary, meetings, correspondence and priorities, while also providing important support around Board and senior leadership meetings.

The Role

As Temporary Executive Assistant to the CEO, you will act as a trusted and highly organised point of support, ensuring the CEO's time is managed effectively and that key meetings, documentation and actions are coordinated accurately. You will be responsible for:

  • Managing the CEO's diary and schedule, prioritising competing demands and ensuring effective use of their time.
  • Managing CEO expenses.
  • Coordinating internal and external meetings, appointments and commitments.
  • Preparing briefing materials, presentations, correspondence and other documentation.
  • Managing incoming correspondence and communications where appropriate.
  • Arranging travel, accommodation and itineraries when required.
  • Maintaining accurate records and documentation.
  • Carrying out research and ad hoc administrative tasks as required.
  • Coordinating the preparation and collation of Board papers and meeting documentation.
  • Working with colleagues to ensure papers are accurate and submitted within agreed deadlines.
  • Preparing and circulating agendas and meeting packs.
  • Coordinating meeting arrangements, including venues, technology and attendance.
  • Attending meetings where required and producing accurate minutes and action points.
  • Maintaining an action log and following up outstanding actions.
  • Ensuring documentation and records are maintained securely and appropriately.
  • Providing support to the Chairman and Board when required.

Confidentiality & Governance

Due to the nature of the position, you will regularly handle sensitive, confidential and commercially sensitive information. You will therefore need to demonstrate a high level of discretion and professionalism when dealing with information relating to the CEO, Board and wider organisation. You will also support effective governance and accurate record keeping, ensuring documentation is stored and distributed appropriately.

About You

We are looking for an experienced Executive Assistant or Personal Assistant who is comfortable supporting senior executives and working in a fast-paced environment where priorities can change. You will ideally have:

  • Previous experience in an Executive Assistant or Personal Assistant position.
  • Experience supporting a senior executive or leadership team.
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication skills.
  • Excellent attention to detail.
  • The ability to manage multiple priorities and deadlines.
  • A high level of confidentiality and discretion.
  • Strong Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.
  • The ability to work independently and use initiative.
  • A professional and confident approach when dealing with senior stakeholders.
  • A flexible and adaptable approach to changing priorities.
  • A strong commitment to accuracy and quality.
