About The Role

The Office Manager & Executive Assistant is responsible for ensuring the smooth day‑to‑day operation of Twinstake's workplace while providing high‑quality administrative and executive support to the CEO and Commercial team. This role sits at the heart of the employee experience, creating an organised, welcoming, and productive environment for employees, visitors, and partners. From managing office facilities and vendors to coordinating events, supporting health and safety requirements, and providing executive assistance, the role combines operational excellence with exceptional attention to detail.

What You Will Contribute

Office & Workplace Operations

  • Oversee the day‑to‑day management of the London office, ensuring a safe, organised, and professional working environment
  • Manage office facilities, maintenance requests, repairs, and workplace improvements
  • Coordinate office access, security processes, visitor management, and building‑related requirements
  • Maintain office supplies, stationery, equipment, and workplace resources
  • Manage relationships with office vendors, suppliers, and service providers, ensuring services are delivered effectively and contracts remain up to date
  • Monitor office expenditure and support budget management for workplace‑related costs
  • Act as the primary point of contact for workplace and office‑related queries

Employee Experience & Events

  • Lead the coordination of employee experience initiatives that contribute to a positive and engaging workplace culture
  • Organise office events, team celebrations, company gatherings, offsites, and social activities
  • Coordinate virtual events and activities for remote team members
  • Manage office snacks, refreshments, catering, and employee hospitality arrangements
  • Support onboarding logistics for new joiners, including workspace setup and office introductions
  • Work closely with other functional leads to deliver an exceptional employee experience across the employee lifecycle

Executive & Administrative Support

  • Provide proactive administrative and executive support to the CEO
  • Manage calendar coordination, meeting scheduling, and travel arrangements
  • Support preparation of meeting materials, presentations, agendas, and follow‑up actions where required
  • Assist the Commercial team with travel bookings, meeting coordination, event logistics, and administrative support
  • Coordinate external meetings, client visits, and partner engagements hosted at the office
  • Handle confidential information with professionalism and discretion

Health, Safety & Workplace Compliance

  • Serve as the primary coordinator for workplace health and safety activities
  • Support compliance with applicable health and safety legislation and company policies
  • Maintain health and safety records, workplace assessments, and required documentation
  • Coordinate office inspections, emergency procedures, and workplace safety initiatives
  • Act as a point of contact for workplace incidents, concerns, and facilities‑related issues
  • Work with external providers and building management to ensure workplace compliance requirements are met

Operational & Administrative Support

  • Support ad hoc operational projects and initiatives across the business
  • Assist with procurement, supplier coordination, and office‑related purchasing activities
  • Maintain organised documentation, records, and administrative processes
  • Provide general administrative support across departments where required
  • Identify opportunities to improve workplace operations and employee experience processes.

What You Bring

  • Previous experience in an Office Manager, Executive Assistant, Workplace Experience, Operations Coordinator, or similar role in a corporate environment
  • Exceptional organisational and time management skills
  • Strong attention to detail and ability to manage multiple priorities simultaneously
  • Experience coordinating vendors, suppliers, and workplace facilities
  • Confidence organising events and employee engagement activities
  • Excellent written and verbal communication skills
  • Strong discretion and ability to handle confidential information appropriately
  • Proficiency with common workplace productivity tools and collaboration platforms.
