About the Role
The Executive Assistant will be responsible for providing comprehensive administrative support to multiple executives at 5WPR. This role requires a highly organized, detail‑oriented, and proactive individual who thrives in a fast‑paced, dynamic environment and exhibits a high level of accountability and confidentiality. The Executive Assistant will be instrumental in ensuring the seamless operation of daily activities, enabling executives to focus on strategic initiatives and organizational goals, and is responsible for various administrative, managerial, and communication tasks. The role requires in‑office presence 4 days a week to collaborate effectively with executives and the broader team, ensuring seamless communication and support.
Responsibilities
- Manage and update daily, weekly, and monthly calendars, including scheduling meetings, appointments, and travel arrangements, to ensure all schedules are accurate and well‑organized.
- Coordinate and organize meetings, conferences, and events, ensuring executives are well‑prepared (research and prep documents, preparing and displaying presentations, arranging catering, etc.).
- Manage expense reports and budgets and handle and safeguard confidential corporate, personnel, and financial information with the utmost discretion (experience with Concur).
- Assist with business development efforts (experience with NetSuite); provide added support for outbound initiatives as needed, including drafting and sending emails and managing outbound outreach tools and services.
- Build, review, and maintain databases and lists for various projects and initiatives.
- Arrange travel itineraries, accommodations, and transportation, ensuring smooth travel experiences, and manage any unexpected issues.
- Prepare, organize, and maintain important confidential documents, reports, presentations, and information.
- Assist with employee recognition efforts, including keeping executives apprised of employee milestones.
- Research and gather data to assist in decision‑making.
- Track and follow up on tasks to ensure deadlines are met.
- Assist with a range of projects, adapting quickly to changing priorities.
- Screen and prioritize incoming calls and messages.
- Run miscellaneous errands in a timely manner.
- Additional professional and personal support and responsibilities as needed.
Qualifications
- Associate’s degree required, Bachelor’s degree highly preferred.
- 3+ years of Administrative Assistant/Executive Assistant experience, preferably supporting executives, C‑Suite leaders, Presidents, or CEOs.
- A polished and professional demeanor with exceptional verbal and written communication skills.
- Experience with copywriting and copyediting; ability to craft communication to clients and staff.
- Outstanding organizational skills and meticulous attention to detail.
- Ability to think ahead and problem‑solve.
- Ability to work independently and adapt to changing priorities, remain composed under pressure in a fast‑paced environment.
- Excellent time‑management skills, ability to multitask.
- Strong proficiency in Microsoft Office Suite – Outlook, PowerPoint, Excel, Word, with the ability to quickly adapt to new tools or platforms.
- Experience with NetSuite, Concur, ZoomInfo, and Constant Contact preferred.
- A commitment to maintaining strict confidentiality at all times.
