Responsibilities
- Manage the day to day workflow and forecasting of projects through the team.
- Liaise with project managers, producers, account teams and department heads to understand and manage/optimise team resource needs.
- Work closely with the Creative or Medical Leadership to ensure that good resourcing decisions are made and are communicated in a timely manner to the wider teams.
- Deal with day to day queries on projects, secure and analyse briefs and ensure all information is gathered and the creative process followed, negotiate timings.
- Understand how to monitor utilisation, billability and department margins and how to affect change.
- Make recommendations based on understanding of group member skill sets across creative departments.
- Proactively prepare for and lead weekly resource meetings to ensure critical scheduling decisions can be addressed quickly.
- Partner with Recruitment to identify when internal resources are not available and prioritise open positions.
- Collaborate with Client Leaders, HR, Recruitment & leadership teams.
Required Skills & Experience
- Ability to work with a high degree of self‑direction and flexibility, especially with respect to taking initiative, prioritising multiple tasks, and using good judgement to resolve problems.
- Ability to manage key stakeholders using an adaptable and flexible approach.
- Strong interpersonal and communication skills (both written and oral), and the ability to work effectively with a wide range of internal stakeholders.
- Ability to provide accurate and efficient service under the pressure of constant deadlines.
- Skilled in organising tasks and establishing priorities.
- Ability to gather data, consistently track metrics, and prepare reports.
- Ability to work with confidential materials and maintain complete discretion at all times.
- Thorough attention to detail.
- Experience in traffic or operations in the creative industry.
- Strong capacity planning, recruitment, and project team assessment skills.
- Quick and creative problem solver who works well under pressure.
- Commercially savvy with budgeting and production experience.
- Understanding of the disciplines within a creative agency.
- Strong experience within a scheduling or resourcing role, preferably in a professional services environment.
- Demonstrated effectiveness in supporting multiple business leaders, working across varied practice areas.
- Experience with resourcing systems.
- Proficiency in Microsoft Office with a focus on Word and Excel.
