This team is the engine room of the business: they keep claims moving, chase missing information, and ensure lenders respond on time.
Key Responsibilities
- Client & Lender Communication
- Liaising with clients and lenders via phone and email to progress claims
- Handling inbound calls professionally, resolving queries or directing them appropriately
- Making outbound chaser calls to obtain missing documents or updates
- Clearly explaining what information is needed and why, ensuring clients comply quickly
- Email & Workflow Processing
- Managing large volumes of emails and distributing them through workflow queues
- Prioritising tasks according to urgency, deadlines, and team workload
- Identifying key information within emails and allocating actions swiftly
- Case Management & CRM Updating
- Updating CRM records with accurate notes, documents, timestamps, and case status
- Progressing each claim through structured stages to avoid delays
- Tracking active caseloads and ensuring no claim goes stale or dormant
- Flagging cases that require escalation or specialist review
- Document & Evidence Handling
- Requesting missing documentation (ID, agreements, finance documents etc.)
- Handling incoming post: opening, scanning, uploading, and filing correctly
- Ensuring all case files are complete, organised, and compliant
- Reviewing lender responses and ensuring they are assigned and actioned promptly
- Compliance & Quality
- Following company processes in line with FCA/CMC regulatory expectations
- Maintaining high accuracy in data entry and document handling
- Ensuring sensitive information is managed securely and confidentially
- Contributing to a high-standard, consistent customer experience
- Team Support & Continuous Improvement
- Collaborating with colleagues to manage workload and support peak demand
- Sharing case insights or blockers with management
- Suggesting improvements to workflows, templates, or procedures
- Supporting team targets through efficient, high-quality processing
