Technical Customer administrator β Temporary vacancy ongoing. Office based in Mansfield, cΒ£13.50-Β£14.90p.h.
We have an immediate temporary requirement for a technical administrator with great Customer service skills to support the department by managing, reviewing, and maintaining closure information for permits/licences.
Your role will be to provide administrative, clerical and technical support to the Permitting & Licensing teams. Ensure permit and licence applications are handled efficiently, customer enquiries are responded to promptly, and that data, records and processes are accurate and up to date. The officer will help maintain service standards and support the smooth running of the licensing/permissions workflows.
Key Responsibilities / Duties
- First point of contact for customers contacting the Permitting & Licensing team: respond to enquiries via phone, email, letter, forwarding to relevant staff when needed.
- Assist with processing permit / licence applications: check completeness of forms, request further information from applicants, ensure all documents are in order.
- Maintain permitting/licensing databases and record systems (electronic & paper): entering data, updating statuses, tracking deadlines.
- Support mapping / GIS tasks where needed (e.g. locating sites, overlaying property boundaries, verifying coal seam or mining record layers) β basic mapping or coordinate tasks.
- Prepare correspondence: standard letters, reminders, permit certificates, invoices or charging documents.
- Schedule and coordinate internal reviews / sign-offs: flag outstanding tasks to technical/licensing officers; ensure workflow moves smoothly.
- Assist with processing of permit fees / payments / invoicing, ensuring correct documentation.
- Assist with audit or compliance checks of licensing/permitting processes, ensuring documentation meets legal/regulatory requirements.
Skills & Experience Required
- Experience of clerical or administrative work; good organisation, ability to handle multiple tasks.
- Strong customer service skills: polite, clear communication (written & verbal).
- Good computer skills: Microsoft Office (Word, Excel, Outlook); comfortable with databases or document tracking systems.
- Attention to detail; accuracy in data recording / documentation.
- Ability to work under supervision, meet deadlines, prioritise workloads.
- Some knowledge or experience of permitting/licensing or regulatory work.
- Basic understanding of GIS / mapping tools or working with spatial data.
