We are seeking a Project Administrator with experience in a similar role. The Project Administrator will provide high‑quality general administrative support to the team, ensuring an efficient and effective administrative function.

Main Duties
  • Provide general administration support to the team as appropriate.
  • Produce, format and amend CVs, minutes, letters, reports, presentations and other documents on request.
  • Keep all team documents up to date (mailing lists, organisational charts, etc.).
  • Input and receipting of purchase orders into the finance system as needed.
  • Answer and field general queries to the team, providing assistance as required.
  • Mobilise new starters onto the project.
  • Photocopy, print, bind, laminate and scan documents as requested.
  • Provide day‑to‑day assistance to the Directors as necessary to contribute to the smooth running of the team.
  • Book meeting rooms, maintain and manage the electronic booking system, set up rooms as per requests and arrange for refreshments and equipment.
  • Order PPE and business cards for the team when required.
  • Organise couriers for the team.
  • Update the contacts and marketing database.
  • Assist with the planning and organisation of events when required.
  • Liaise with other office Team Administrators and Business Assistants and with external contacts.
  • Manage highly confidential information.
  • Conduct research and information gathering when required.
  • Prepare expense returns for the team as required.
  • Manage the people database.
  • Demobilise leavers.
  • Compliance with SOX control responsibilities where applicable.
Qualifications
  • Experience as a Team Administrator, Team Secretary or Project Administrator, previously looking after a large and busy team.
  • Professional, highly organised, efficient, reliable, with a good eye for detail, confident, self‑motivated, proactive and a good telephone manner.
  • Willing to go ‘the extra mile’.
  • Works well in a team and can work on their own initiative with minimum supervision.
