Job Description

Our Infrastructure team are seeking an experienced Document Controller to be responsible for the overall management of documentation in line with industry compliance standards while supporting the Project management team. To provide comprehensive support in the management, control, and analysis of property-related documents and data.

This role will ensure best practice in information management, document control, and business intelligence within the Property & Estates division. The postholder will be responsible for maintaining digital records, overseeing document workflows, and developing data-driven insights to support operational and strategic decision‑making.

Key Responsibilities

  • Facilitate documentation production (technical reports, monthly progress reports, meeting minutes, meeting agendas, drawings, photographs, consultant reports).
  • Specify document types and formats, and produce and control their quality.
  • Manage and maintain the Property Department’s Resource Hub SharePoint site, ensuring accessibility, security, and efficient document storage.
  • Support the migration and development of designated Team SharePoint sites as part of digital transformation projects.
  • Conduct regular reviews to ensure compliance with document control policies and retention/disposal requirements.
  • Design or revise documentation, training materials and/or procedures, using an appropriate blend of text, diagrammatic and pictorial content for the intended users.
  • Create, review, revise and format controlled documents and procedures.
  • Control management system content continuous improvement and revision cycles.
  • Prepare training and induction materials for the development and management of controlled documents.
  • Induct, train and coach personnel in the preparation and management of controlled documents.
  • Prepare diagrams and process maps that can be included within controlled documents to illustrate step‑by‑step processes and/or workflows.
  • Assume ad‑hoc duties/projects when required.
  • Exhibit excellent communication skills, especially when dealing with stakeholders/clients.
  • Lead quality assurance for data structures and reporting outputs.
  • Assist in planning, analysis, design, and implementation of business intelligence frameworks for Property & Estates.
  • Support compliance with information‑based legislation (e.g., Data Protection Act, Freedom of Information Act).

Qualifications

  • 2+ years of experience in document management and control – preferably in the construction/engineering/pharma/consultancy industry.
  • Extensive knowledge and experience with Electronic Document Management systems (Aconex or similar), MS Office suite, Power BI.
  • Experience monitoring various document control processes and assurance.
  • Knowledge of quality management and process improvement practices, preferably within the construction sector.

Skills

  • Fully proficient in Microsoft Word, Excel, PowerPoint and database management.
  • Strong documentation skills with a focus on detail.
  • Good verbal and written communication, including the ability to present information clearly and concisely.
  • Self‑directed, able to set priorities and meet deadlines.
  • Well‑developed interpersonal skills, cooperative within a multidisciplinary team.
  • Flexible and capable of multi‑tasking.
