Job Description
Our Infrastructure team is seeking an experienced Document Controller to be responsible for the overall management of documentation in line with industry compliance standards while supporting the Project management team.
Key Responsibilities
- Responsible for facilitating documentation production (i.e technical reports, monthly progress reports, meeting minutes, meeting agendas, drawings, photographs, consultant reports).
- Responsible for specifying document types and formats, and in producing and controlling their quality.
- Responsible for the design or revision of documentation, training materials and/or procedures which are used to communicate complicated information and concepts utilizing an appropriate blend of text, diagrammatic and pictorial content for the intended users.
- Creation, review, revision and formatting of controlled documents and procedures.
- Control of management system content continuous improvement and revision cycles.
- Preparation of training and induction materials pertaining to the development and management of controlled documents.
- Induction, training and coaching of personnel in the preparation and management of controlled documents.
- Preparation of diagrams and process maps that can be included within controlled documents to illustrate step by step processes and/or workflow.
- Responsible for ad‑hoc duties/projects when required.
Qualifications
- 5+ years of experience in document management and control – preferably in the construction/engineering/pharma/consultancy industry.
- Extensive knowledge and experience with Electronic Document management systems (Aconex or similar), MS office suite.
- Experience in monitoring various document control processes and assurance.
- Knowledge of quality management and process improvement practices, again preferable within the construction sector.
Skills
- Fully proficient in Microsoft Word, Excel, PowerPoint and management of databases
- Documentation skills and strong focus on detail
- Good verbal and written communications skills including ability to present information in a clear and concise format
- Demonstrated ability to work effectively on own initiative, set priorities and work within required time‑lines
- Well‑developed interpersonal skills, with a willingness and capacity to work cooperatively as part of a multi‑disciplinary team to meet project demands
- Flexible and ability to multi‑task
