We have an opportunity for a full‑time PA to join our Office Services team in our Edinburgh office on a permanent basis, working within our Land & Property department and to work with our Head of Land & Property Partner, one Partner and their team. The full‑time hours are 33.75 hours per week, Monday to Friday, 9am to 5pm. The role will principally be based in our Edinburgh office, initially fully office based, but in the long term the Firm supports a hybrid working approach through our Smarter Working policy.
Responsibilities
- The successful candidate will deliver a proactive PA service designed to remove all administrative activity from the legal team, including full responsibility for client matter administration, operational support, financial coordination and workflow oversight, ensuring legal colleagues can focus exclusively on delivering legal advice to clients.
- You will provide anticipatory PA support, identifying requirements in advance and ensuring Partners and lawyers are consistently equipped with all information, documents and resources necessary for effective workload management.
- The successful candidate will take full ownership of diary management, ensuring all meetings, deadlines, internal commitments and absence periods are accurately recorded and updated.
- As a PA you will act as the first point of contact for Partners, managing their inboxes with discretion, prioritising communications, drafting responses where appropriate and ensuring all actions are progressed in a timely manner.
- As a PA you will provide end‑to‑end administrative oversight of matters, ensuring all documents, correspondence and compliance records are maintained accurately and filed correctly.
- You will support client matter opening and closing processes, coordinate with relevant support teams to ensure compliance with Firm requirements, prepare meeting packs and ensure timely distribution ahead of all scheduled meetings.
- The PA will arrange all internal and external meetings on behalf of Partners and the legal team, including room bookings, technology setup, equipment and hospitality requirements.
- The PA will coordinate travel arrangements, ensuring all associated logistics are confirmed and documented.
- The PA will assist Partners with coordination of business development and marketing activities, including event preparation, meeting support and maintaining client contact records where required.
- The successful candidate will provide administrative support for financial processes including billing, Cashroom activity, fee letter preparation, bank transfer requests.
- The PA will work closely with the Finance team to ensure accuracy, completeness and timely processing of all financial tasks, generate reports from Aderant, draft fee communications to clients and assist with CMI and AML processes for the team, ensuring all compliance obligations are met in line with internal risk and regulatory requirements.
Skills/Qualifications
- The successful candidate will have previous PA experience; Legal PA experience would be advantageous but is not essential.
- Strong organisational and confident communication skills will be essential, as will experience using Microsoft Office packages.
- Full training will be given on other platforms used in the business.
- You will have strong attention to detail and interpersonal skills with the ability to work on your own initiative and prioritise your workload.
- A high level of discretion and confidentiality is a requirement of this role as you will be exposed to sensitive information.
