Reception staff are the first point of contact for patients and visitors, delivering a high‑quality, patient‑focused reception and administrative service. They support clinical staff and help ensure patients are managed efficiently, courteously and in strict confidence.

Key Responsibilities

  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
  • Manage face‑to‑face and telephone enquiries, book appointments, and signpost patients appropriately.
  • Administer repeat prescriptions, hand completed repeat prescriptions to patients and check name and contact details.
  • Maintain and update patient records, including change of address and other information in the clinic system.
  • Use the telephone system during and after hours; process appointment requests and visit requests.
  • Support clinical and administrative teams with tasks such as clearing rooms after surgeries, preparing workstations, and making tea/coffee for doctors.
  • Adhere to practice policies, NHS guidance, information governance requirements, and infection control standards.
  • Confidentially manage patient and practice information, following data protection and confidentiality procedures.
  • Participate in training, performance reviews and audit activities as required by the Practice.

Qualifications

  • Maths & English Grade 4 GCSE or C equivalent.
  • Valid Disclosure and Barring Service check (Rehabilitation of Offenders Act exceptions).
