Our top tier, corporate legal Client are now seeking a professional, well presented Receptionist to join their growing Client. As an integral part of the business support team, your duties will include:
- Provide Switchboard / Reception cover at times of annual leave/sickness absence as required including opening up in the morning.
- Assist reception with ensuring meeting rooms are cleared and tidy prior to and after meetings.
- Provide refreshments for clients and meetings as required.
- Undertake routine and regular maintenance tasks such as heating and cooling settings, ensuring the car park is kept safe for staff and visitors, monitoring temperature of zip taps, issuing door toggles, issuing office keys.
- Assist with fire alarm checks and carry out monthly checks for emergency lighting and fire exit doors. Log accordingly.
- Assist with moving files and boxes between departments and buildings.
- Undertake opening of incoming mail and DX, collect outgoing mail and DX from the designated collection points at set times, weigh, frank/stamp and place in relevant post trays, pack relevant mail bags, keep the franking machine in credit, provide monthly statistics of postage costs and arrange couriers. Deliver and collect mail to and from post office, post box or the locality as required.
- Distribute correspondence, incoming faxes and further incoming mail throughout the working day, either electronically or physically.
- Maintain paper stock levels in all print machines each morning.
- Maintain stock levels in all kitchens each morning.
- Keep supplies and stationery storage areas tidy.
- Assist with organisation of In-House training including setting up of any video conference or webinar facilities.
- Arrange travel and hotel bookings including liaison with travel agent and monitoring of the travel booking email inbox.
- Arrange course and conference bookings.
- Telephone hearing and conference call set up.
