TSR Legal is delighted to be working with a highly regarded and forward-thinking law firm in Cardiff to recruit a Legal Secretary to join its established Private Client team. This is an excellent opportunity for a Legal Secretary or Legal Assistant who enjoys working closely with fee earners and clients and is looking to develop their career within a busy and supportive Private Client department. The team handles a varied range of matters including Wills, Probate, Estate Administration, Lasting Powers of Attorney, Trusts and Court of Protection work, giving you exposure to a broad and interesting caseload.

The Role

Working closely with the Private Client team, you will provide comprehensive secretarial and administrative support while playing an important role in ensuring matters are progressed efficiently and clients receive a high level of service. Your responsibilities will include:

  • Providing full secretarial and administrative support to fee earners within the Private Client team
  • Preparing and formatting legal correspondence, documents and reports
  • Drafting routine letters and documents using precedents and fee earner instructions
  • Managing diaries, appointments, meetings and client reviews
  • Handling incoming calls and client enquiries professionally
  • Managing emails, correspondence and incoming and outgoing post
  • Acting as a professional first point of contact for clients, beneficiaries, executors and other third parties
  • Supporting the onboarding of new clients, including issuing engagement documentation and assisting with AML requirements
  • Maintaining regular communication with clients regarding the administrative aspects of their matters
  • Assisting with the preparation of Probate application documentation
  • Preparing Wills, Lasting Powers of Attorney and Trust documentation for execution
  • Assisting with the registration of Lasting Powers of Attorney
  • Maintaining accurate electronic files and ensuring documentation is correctly recorded on the firm’s case management system
  • Working collaboratively with the wider Private Client team
  • Maintaining strict confidentiality when dealing with sensitive client information
  • Ensuring work is completed in accordance with relevant regulatory requirements and firm procedures

About You

We are looking for someone who is organised, proactive and client-focused, with the ability to manage a varied workload and work effectively in a busy legal environment. You will ideally have:

  • Previous experience as a Legal Secretary, Legal Assistant or Legal Administrator within a law firm
  • Private Client, Wills & Probate experience would be advantageous, although candidates with strong legal secretarial experience from another practice area will also be considered
  • Excellent written and verbal communication skills
  • Strong IT skills, including Microsoft Word, Outlook and Excel
  • Familiarity with legal case management systems and digital dictation
  • Excellent organisation and time management skills
  • Strong attention to detail and accuracy
  • The ability to prioritise competing tasks and meet deadlines
  • A professional, discreet and confidential approach
  • Excellent client care and interpersonal skills
  • A positive and collaborative approach to working within a team
