Our Liverpool site is expanding its administrative support team. We are looking for a highly organized Admin Assistant to join our busy and dynamic office. In this role, you will support the day‑to‑day running of the business, working closely with the Project Manager and engineers to ensure excellent customer service, efficient scheduling, accurate reporting, and smooth operational processes. This is a great opportunity for someone who thrives in a fast‑paced environment and enjoys a varied administrative role.

Key Responsibilities:

  • Act as the first point of contact for customers
  • Plan engineers’ work schedules, ensuring client requirements are met and productivity is maximised
  • Ensure engineers complete work on time and to company standards
  • Update and maintain data on the client register
  • Liaise with clients and property tenants to ensure smooth communication
  • Make and receive daily phone calls to arrange appointments and resolve customer queries
  • Collate job sheets and certification for completed works to support accurate billing
  • Use Excel spreadsheets and in-house finance systems to update customer details and generate reports
  • Liaise daily with the Project Manager and engineering team
  • Send daily appointment reminders via text message
  • Generate customer appointment letters through mail merge
  • Provide daily updates and reports to clients
  • Ensure deadlines are met and administrative processes run efficiently
  • Deliver a high level of customer service at all times
  • Support the wider team with any other administrative duties as required

Requirements:

  • Strong customer service skills with a professional and confident telephone manner
  • Previous experience in administration and/or scheduling
  • Excellent Microsoft Office skills, particularly advanced knowledge of Word and Excel
  • Ability to stay calm and effective within a busy team environment
  • Strong organisational skills and high attention to detail
  • Critical thinking and problem‑solving skills
  • Strong communication skills at all levels internally and externally
  • Excellent timekeeping and the ability to meet deadlines
