Role Overview
We are looking for an organised and highly accurate Medical Logistics Coordinator to support the movement, processing and management of specialist medical kits and donor materials.
You will coordinate the packing, quality checking and dispatch of medical kits, process incoming donor samples and returned swab kits, manage stock levels and arrange national and international shipments.
This is a practical and varied role requiring excellent attention to detail, strong organisational skills and the ability to manage time sensitive tasks.
Full training will be provided, and a clinical qualification is not required.
Key Responsibilities
- Medical Kits and Donor Materials
- Coordinate the packing, quality checking and dispatch of blood draw and other specialist medical kits.
- Ensure all kits contain the correct materials and documentation before they are dispatched.
- Monitor stock levels and arrange the replenishment of medical kits and associated supplies.
- Receive, record and quality check incoming donor samples, ensuring they are processed accurately and promptly.
- Process returned swab kits and prepare weekly shipments to an overseas laboratory.
- Maintain accurate records relating to medical materials, samples and shipments.
- Logistics and Deliveries
- Arrange couriers, deliveries and collections for medical kits, samples and other operational materials.
- Track shipments and resolve delivery issues with couriers and external suppliers.
- Coordinate the packing, delivery and return of event materials for external supporters and partner organisations.
- Manage incoming and outgoing post and sign for deliveries.
- Ensure time sensitive materials are handled and dispatched within the required timescales.
- Stock Management
- Take responsibility for stock control, ordering and replenishment.
- Complete regular stock checks, including monthly and annual inventory counts.
- Maintain accurate stock records and identify shortages before they affect operations.
- Liaise with suppliers and fulfilment partners regarding orders, deliveries and stock availability.
- Administration and Reporting
- Produce weekly and monthly reports covering workloads, shipments and stock levels.
- Support the management of the shared operations inbox.
- Maintain accurate information across databases, spreadsheets and internal systems.
- Ensure all activities comply with data protection, confidentiality and internal procedures.
- Identify opportunities to improve logistics and operational processes.
- Collaboration
- Work closely with colleagues across Donor Services, Donor Recruitment, Marketing and Communications.
- Support internal projects and provide additional operational assistance during busy periods.
- Build effective relationships with couriers, suppliers, partner organisations and external supporters.
- Participate in staff training, team meetings and organisational events.

Essential Experience and Skills
- Previous experience in logistics, operations, administration, stock coordination or a similar role.
- Experience coordinating deliveries, couriers, shipments or collections.
- Experience managing stock, ordering supplies or completing inventory checks.
- Excellent attention to detail and a high level of accuracy.
- Ability to manage multiple tasks and meet time sensitive deadlines.
- Strong written and verbal communication skills.
