Overview
Truffle Guys is a fast-growing premium truffle condiment brand, supplying restaurants, multi-site foodservice operators, retailers, and direct-to-consumer customers with our unique range of truffle-based products. We are disrupting the market and have ambitious growth plans. We’re looking for a highly motivatedOperations Executive to play a key role in ensuring smooth day-to-day operations, supporting our growth, and helping us deliver exceptional service to our customers.
This role is fully remote, but we’re also open to candidates based in London who’d like to come into the office from time to time.
Key Responsibilities
Customer Experience
- Managing D2C orders (via our Shopify site), ensuring smooth fulfilment and resolving any issues with our warehouse partners.
- Providing outstanding customer service for all D2C orders, ensuring quick responses and happy customers.
- Ownership of B2B orders (wholesalers, retailers, restaurants), making sure our customers receive their truffle fix on time and in full.
- Problem solving and customer support when order or delivery issues arise.
Stock Management & Reporting
- Supplier management, including raising purchase orders, overseeing production timelines & end-to-end delivery of stock.
- Ensuring accurate and timely invoicing of customer orders.
- Chasing outstanding customer payments and managing invoice queries.
- Supporting stock reconciliation to keep our systems aligned with physical stock.
- Monitoring stock levels to flag risks before they become issues.
- Data management & reporting
Logistics & Operations
- Managing our 3PL (third-party logistics) partner and identifying inefficiencies to improve processes.
- Organising event logistics — from coordinating the events team to managing stock, samples, and transport.
Cross-Functional Team Support
- Sales team – assisting with new product set-ups, order status updates, and retailer requirements.
- Marketing team – coordinating influencer send-outs, samples, and supporting brand activations/events.
What We\'re Looking For
- Ideally you have 1-2 years of experience in an operations role (FMCG preferable), or equivalent hands-on experience.
- Confident with numbers and data, with strong Excel/Google Sheets skills (bonus if you’ve used Shopify, Unleashed, or other ERP systems).
- Detail-oriented, highly organised, and energised by solving problems efficiently.
- Excited by the bigger picture – keen to spot (and create!) operational efficiencies in a fast-moving supply chain.
- A self-starter who thrives in a small, dynamic team where everyone chips in.
- Hungry (literally) to grow in a brand that’s shaking up the UK food scene.
