A fast-paced wholesale business is seeking a proactive and highly organised Key Account Administrator to support the day-to-day operational processes for a key retail account. This role is focused on shipment documentation, factory communication, and ensuring smooth logistics and supply chain execution.
Main responsibilities will include:
- Liaising with factories and in-country teams to obtain supplier packing lists, booking confirmations and load plans.
- Creating and managing shipping documentation including packing lists, invoices and raw material paperwork.
- Sending invoices, packing lists and supporting documents to the customer transport team for approval.
- Sharing load plans and freight collection receipts with the logistics team to ensure stock is correctly receipted.
- Creating commercial invoices and dispatching physical documents via courier when required.
- Working closely with internal teams to ensure tasks are completed accurately, on time, and in line with deadlines.
- Using web-based portals and data tools to support order processing and documentation tracking.
- Supporting general operational and administrative tasks to keep the account running smoothly.
Person specification:
- Strong admin background with excellent attention to detail and accuracy when working with data.
- Confident communicator, able to coordinate across multiple stakeholders including factories, logistics and internal teams.
- Proficient in Excel and comfortable working on web-based systems and portals (experience with XPC, GT Nexus, Kerry Logistics or similar is a bonus).
- Highly organised, able to work independently, manage deadlines, and adapt quickly in a fast-moving environment.
- Proactive, solution-focused and calm under pressure.
