We are looking for a Senior Compliance Manager to lead and shape Tropic’s product and certification compliance across global markets. This is a unique opportunity to combine strategic ownership with hands‑on expertise, ensuring our products, ingredients, and certifications meet the highest regulatory and ethical standards. You will play a critical role in protecting the integrity of the Tropic brand, supporting innovation, and enabling continued growth. Reporting to the Technical Director, you will own the end‑to‑end compliance process, from supplier documentation and product notifications to certification management and audit readiness, while guiding a small team to deliver excellence and maintain robust, inspection‑ready systems.

Key Responsibilities

  • Product Documentation & Compliance
    • Own and review formulation ingredient documentation for new and existing products and raw materials.
    • Ensure all safety documentation is accurate, complete, and aligned with regulatory requirements.
    • Prepare and maintain Product Information Files (PIFs) ensuring they remain complete, accurate, and audit‑ready.
    • Lead the preparation and submission of product notifications and registrations across global markets.
  • Compliance Certifications
    • Lead the preparation and maintenance of documentation required for product and ingredient compliance certifications (e.g., COSMOS, Vegan Society).
    • Own certification timelines, renewals, and compliance standards.
    • Act as the key contact for external certification reviews and audits, ensuring all supporting documents are accurate and readily accessible.
  • Supplier & Raw Material Compliance
    • Act as the main contact for supplier documentation, reviewing technical files, certifications, and ingredient information.
    • Ensure all required supplier data is complete and stored correctly within internal systems.
    • Identify and proactively resolve gaps in supplier data.
    • Support sourcing decisions by assessing ingredient suitability and compliance alignment.
    • Maintain accurate compliance trackers, certification records, and product documentation.
  • Team Leadership & Coordination
    • Support and guide compliance team members to deliver high‑quality, accurate outputs.
    • Set priorities and ensure effective collaboration across formulation, quality, and operations teams.
    • Identify and resolve workflow challenges to improve compliance processes.

What We’re Looking For

  • Proven experience in cosmetic regulatory compliance, with strong expertise in EU/UK regulations (EU 1223/2009 / UK Cosmetics Regulation) and exposure to global markets.
  • In‑depth knowledge of Product Information Files (PIFs), safety assessments, and global product notification systems.
  • Experience managing international compliance requirements, including adapting documentation and formulations for different regional regulations.
  • Demonstrated experience preparing and maintaining third‑party certifications (e.g., COSMOS, Vegan Society), including audit readiness and renewals.
  • Strong experience reviewing raw material and supplier documentation, ensuring compliance with regulatory frameworks across multiple markets.
  • Solid understanding of INCI, global ingredient restrictions, labelling requirements, and claims compliance.
  • Experience working cross‑functionally with formulation, quality, regulatory, and operations teams within a product development environment.
  • Strong organisational skills, with experience maintaining compliance trackers, certification records, and document control systems.
  • Experience leading and developing a team, with the ability to translate regulatory requirements into clear, practical guidance.

What We Offer

  • Employment Type: This role is offered full‑time, Monday to Friday, 9am to 5pm.
  • Location: Tropic HQ is a short walk from Beddington Lane Tram stop, with direct links to East Croydon and Wimbledon.
  • Hybrid Working: Initially office‑based (5 days per week), with the opportunity to move to a hybrid working pattern (minimum 3 days in the office) upon successful completion of probation.
  • Salary: Starting from ÂŁ40,000 per annum DOE.
