Reporting directly to the Venue Manager for Trivandi’s delivery, the Venue Management Coordinator will support the integrated planning of Games-time operations through the OC-provided planning processes for one of the Glasgow 2026 Commonwealth Games competition venue. This role will be required to support the coordination, planning and delivery of Overlay, Organising Company operations, and external stakeholder delivery into one team, including production of regular reporting to meet Organising Committee governance requirements.
Working Arrangements
The role will initially be based at the Organising Company’s Glasgow city centre office, with visits to competition venues as required to support the effective delivery of responsibilities. As the Games approach, the role will transition to being primarily based at your assigned competition venue. The position is initially contracted for 37.5 hours per week (with a 30-minute lunch break), with office attendance aligned to the Organising Company’s working pattern. During the Games-time operational period, shift patterns will apply and may include evenings and weekends.
Key Responsibilities
- Support the structured preparation, delivery and drafting of outputs for the Venue Operational Planning sessions. You will ensure that all Organising Company (OC) Functional Areas (FAs), venue owners, International Federations, Commonwealth Sport, and Games partners are able to participate fully in these sessions.
- Support the preparation of the Venue Operating Plan, policies and procedures, coordinating accurate and timely contributions from OC FAs, venue owners, and external agencies.
- Coordinate inputs from across multiple stakeholder groups for the integrated venue timeline, mapping the key deliverables for site and infrastructure development.
- Support the production of key documentation aligned to license conditions including event‑specific licenses and variations for the designated competition venue.
- Own the information management responsibilities for the Venue Management Team, ensuring documentation is stored according to agreed policies and is accessible to all required stakeholders.
- Facilitate site visits in conjunction with the Venue Owners, OC, and CGAs.
- Provide inputs into the project management system, identifying and documenting operational planning and delivery challenges and issues as they arise, ensuring actions are identified and followed up to ensure timely issue resolution.
- Support the delivery of all venue operations to the highest standards and in accordance with the OC and Commonwealth Sport requirements.
- Deliver daily venue operations, ensuring compliance with all health, safety, and security standards, including adherence to relevant legislation and Games policies.
- Schedule and support the preparation and delivery of test events and readiness exercises, including technical and sport rehearsals, to ensure the venue is prepared for Games operations.
- Draft regular reporting on venue readiness, risks, and operational status for review by the Venue Manager prior to submission as required.
Skills, Knowledge and Expertise
Experience
- Demonstrated experience of stakeholder management skills in the public or private sector
- Project management experience certificates e.g. PRINCE2, APMP would be beneficial
- Previous experience in organising or delivering events of any scale
- Knowledge and experience of sustainable event management practices
