As the Material Planner, you will be a key member of the team that will support the planning, implementation, delivery, and all associated operations, policies and procedures of the Logistics (LOG) Functional Area (FA) for the 2026 Commonwealth Games. The Logistics FA is responsible for identifying, scoping, storing, delivering, recovering, and disposing the materials required to stage the Games. This role will assist in all operational aspects associated with Procurement, Material Planning, Asset Management, and Dissolution of Equipment and OC assets for the Logistics FA. This is a fantastic opportunity to contribute to the behind-the-scenes success of a globally significant event, working within a collaborative, fast-paced team committed to delivering operational excellence across the city of Glasgow.

Working arrangements

The role will commence in the Organising Company’s Glasgow city centre office, with visits required to competition venues to fully deliver the responsibilities of the role. The location for the role will transition to be based at a competition venue as we approach the Games. The role will be contracted for 40 hours per week, with requirements to be in the office aligned to the Organising Company's planned working pattern. All travel to your place of work will be at your own cost. During the Games operational period, shift patterns are likely to be required which could include weekends.

Key Responsibilities

  • Materials Planning & Asset Management
    • Assist the Logistics Management Team in developing a strategic plan for Material Planning, Asset Management, and Dissolution Activities, within the Games environment, taking into consideration efficiencies with staff and resources.
    • Manage, monitor and maintain inventory of overall allocations of Furniture, Fixtures and Equipment (FF&E) ensuring each meets budget and is fit for purpose.
    • Be the point of contact for Cluster Venue Logistics Managers (CVLM) and Venue Logistics Managers (VLM) to audit and control changes to venue allocations.
    • Work with other FAs within Glasgow 2026 to facilitate in the logistics operations associated with FA specific items.
    • Manage and administer FF&E Change Request process following relevant procedures and associated databases.
    • Where required, ensure verification, including physical count, of quantity and quality of FF&E upon receipt and return at the Logistics Warehouse.
    • Work collaboratively with suppliers to agree process and ensure the meeting of deadlines for shipping, delivery and collection times.
    • Work with the other streams within Logistics to understand restrictions and limitations that will impact on FF&E quality, allocation, and distribution.
    • Monitors and maintains inventory levels, tracks orders, investigates issues arising, reconciles actual stock against inventory, and generates reports.
  • Procurement
    • Contract Manage the appointed FF&E Supplier for Glasgow 2026.
    • Research, purchase, monitor, orders, and manages assets.
    • Manage, develop, and administer invoice processes.
    • Work closely with suppliers to maintain and manage all supplier catalogues and stock.
    • Provide clear concise instructional direction to the Logistics Team regarding Logistics Purchasing.
  • Dissolution
    • Support the development of dissolution processes and documents.
    • Input into central dissolution asset databases.
  • Logistics Operations
    • Support Logistics Operations Manager with the development of efficient plans and processes for the receipt, storage, distribution, ongoing supply, recovery of equipment at the venues and regular reporting.
    • Work closely with key Organising Company (OC) and Event Delivery Partner (EDP) staff, as well as Logistics Embedded contractors to ensure integrated planning and successful delivery of all logistics operations.

Skills, Knowledge and Expertise

  • Minimum 2 – 3 years’ experience in a similar role within a complex organisation.
  • Experience in supply chain, inventory, asset management and dissolution.
  • Demonstrated success of operational planning and delivering products in a time critical situation within a defined budget.
  • Experience in document control management.
  • Proficient in using Smartsheet cross-sheet references and formulas.
  • Knowledge or experience with warehouse and/or inventory management systems.
  • Previous multi-sport event experience.
  • Understanding of event logistics.
  • Experience in implementing new systems and/or procedures.
