JOB TITLE: HR Administrator – Human Resources
REF: Bradford 5279042
Pay rate: £107.94 per day PAYE
Contract Type: Temporary, Anticipated 3 to 6 months
Working Arrangement: On site/Hybrid working with 20/80 but may vary dependent on site requirements.
Role Summary
On behalf of a local council, we are seeking an HR Administrator to ensure the HR Restructure (Re-set) is fully documented at all stages and meetings are facilitated, noted, agreed and shared, additional administrative resource is sought on a temporary basis for a period of 3 – 6 months depending on progress made during the consultation and assimilation phase.
Key Responsibilities
- Reviewing and tracking the project plan / HR Restructure timeline, to ensure activity is actioned in date and information is kept up to date.
- Triaging queries from staff via the dedicated HR Restructure mailbox, collating answers / responses to feedback and update FAQ on the dedicated HR Restructure Teams site in a timely manner.
- Coordinating and facilitating Trade Union consultation meetings, including taking and circulating minutes and ensuring any actions are addressed and documented.
- Coordinating and facilitating staff 1-1 meetings, including taking and circulating notes / minutes.
- Assisting with the preparation of staff group meetings / presentations and capturing questions / responses raised at such meetings.
- Assisting with preparations and documentation for the assimilation process, ensuring all information in relation to each staff member is provided and recorded accurately in order that the assimilation panel can make informed decisions on the category status.
- Assisting with staff letters advising of assimilation outcomes / rights of appeal.
- Coordinating and facilitating staff assimilation appeals, including preparing all documentation required for each individual appeal to ensure the Appeal Panel can make an informed decision.
- Assisting with staff letters confirming assimilation outcomes following the Appeal stage.
- Assisting with the collation of information required to inform the HR Systems team / Payroll of changes to structure/org charts / positions / grades.
- Ensure all staff documentation confirming the outcome / new contractual information is prepared and processed.
What the client is looking for
- Proven experience in accurately capturing, summarising, and distributing minutes from high-level meetings, including Trade Union consultations and individual staff meetings.
- Previous experience supporting a restructure, consultation, or assimilation process within a local authority or public sector setting.
- Highly organised with the ability to manage multiple tasks simultaneously, maintain accurate records, and ensure project timelines and milestones are met.
- Familiarity with HR systems, including updating organisational structures and employee records post-restructure.
- Excellent written and verbal communication skills and able to draft clear correspondence, meeting notes, FAQs, and formal staff letters.
- Ability to handle sensitive and confidential employee and organisational information with discretion and professionalism.
- Confident using Microsoft Office (Word, Excel, Outlook, PowerPoint), Microsoft Teams, and HR information systems; ability to update shared platforms (e.g., Teams sites, shared drives) and maintain up-to-date project documentation.
- Experienced in liaising with internal stakeholders including HR colleagues, managers, employees, and trade union representatives to coordinate activities and ensure clear communication.
- Understanding of HR policies, procedures, and employment law relevant to restructures, consultation, and change management is desirable.
- Experience preparing documentation for appeals, assimilation panels, or similar HR decision-making processes.
