Role Overview

As an Office Assistant, you will play a key role in keeping our London office running smoothly day to day. This is a highly visible, hands-on position that supports the overall office experience for employees and visitors alike. You’ll help create an organized, welcoming environment by managing meal setup, coordinating deliveries and visitors, supporting meeting room readiness, and helping maintain the general upkeep of the space. Working closely with the local team and partnering day to day with the Office Manager, you’ll make sure the office is well prepared, well presented, and ready to support a busy team.

Key Responsibilities

  • Manage the day-to-day setup and coordination of breakfasts, lunches, and dinners, including ordering, unpacking, presentation, and reset.
  • Be a visible point of contact in the office, helping create a welcoming experience for employees, guests, and visitors.
  • Coordinate visitor arrivals, including greeting, collecting from reception, issuing passes where needed, and escorting guests to meeting rooms or relevant contacts.
  • Support the handling of deliveries and ensure items are received, organized, and passed on appropriately.
  • Prepare and maintain meeting rooms, including tidiness, layout readiness, whiteboard cleanliness, and replenishment of pens and basic supplies.
  • Carry out regular office walkarounds to help ensure shared spaces remain clean, stocked, and ready for use.
  • Provide ad hoc administrative and practical support to the Office Manager as office needs arise.
  • Assist with office communications and simple creative tasks such as preparing posters or signage for office initiatives.
  • Help maintain accurate awareness of who is in the office, including logging visitors and supporting practical onboarding-related office coordination for new starters.
  • Communicate office issues, maintenance needs, or recurring operational challenges clearly so they can be resolved effectively.
  • Support local health and safety responsibilities, including office-based duties related to fire safety and workplace readiness following training.

Required Skills, Knowledge and Expertise

  • Previous office administration, office support, or similar workplace-based experience.
  • Strong organizational skills and the ability to manage multiple practical tasks across a busy office environment.
  • A proactive mindset, with the confidence to notice what needs attention and take action.
  • Excellent people skills with a friendly, approachable, and helpful attitude.
  • Strong spoken and written English and the ability to understand and communicate clearly in a fast-paced office setting.
  • Comfortable working in a hands-on, physical role that involves being present around the office throughout the day.
  • Ability to work reliably from the office and provide in-person support as required by the role.
  • Good attention to detail and pride in maintaining a high standard across shared spaces and daily office routines.
  • Willingness to learn office processes, build knowledge of the team, and become a trusted day-to-day support presence.
  • Ability to work well with guidance while also taking ownership of routine responsibilities.
  • Experience supporting visitors, meeting rooms, deliveries, or workplace coordination is beneficial.
  • Previous exposure to health and safety or fire warden responsibilities is helpful, though training can be provided.
