Our client is a successful and growing company who are looking for a Receptionist / Administrator to ensure the smooth and efficient running of reception in the head office building. Working Thursday and Friday (16hrs) each week as part of a job share, you must also be able to cover for holidays and sickness. The Role: Greeting visitors, providing refreshments and directing them to the correct person or department. Managing the visitor\’s book and ensure all visitors to the building are signed in and out. Answering enquiries by phone, in person and on email in a friendly and professional manner. Managing meeting room bookings and providing refreshments when required. Ordering/providing lunch orders for meetings when required e.g. board meetings. Management and distribution of any goods delivered to reception, recording details in the \’Goods In\’ book and emailing recipient. Managing the group\’s stationery requirements and placing on-line orders. Organise \’on line\’ shop for kitchen/office provisions. Ensure kitchens and communal areas of the office are kept tidy and well stocked. Car park management and updating car details in OSCA as necessary. Ensure reception is covered at all times by liaising with other staff to provide cover when necessary Book travel/hotel arrangements for staff with regard to cost efficiencies. Liaise with facilities service providers to ensure they deliver an efficient service (e.g. cleaning company, facilities management company, coffee machines, office plants etc).Skills Required: Positive, confident, and friendly attitude Good spoken/written communication skills, excellent telephone manner Good organisational skills and attention to detail Good use of Microsoft office Be of smart appearance Good geographical knowledge Ability to stay calm under pressure Able to manage multiple tasks Pro-active approach First Aid / Fire Warden experience would be beneficial (training will be provided)The salary is £25,000 to £27,000 for full-time hours so will be pro-rata for 16hrs per week.
