The Customer Experience & Finance Assistant’s primary responsibility is to provide first-class service to customers while supporting the successful delivery and administration of telematics solutions for large enterprise and public sector organisations.
The role combines customer experience, project coordination, finance administration and general business support. You will work collaboratively with the sales, support and finance teams to coordinate customer requirements, support telematics project delivery, maintain accurate records and ensure invoices and project costs are processed accurately and efficiently.
The role requires excellent organisation and attention to detail, as well as the ability to manage multiple tasks and priorities in a fast-paced environment. We are looking for individuals with a willingness to learn, develop their skills and build knowledge and experience across customer experience, telematics and finance.
Key responsibilities
Customer experience
- Provide excellent service to customers via telephone, email and live chat.
- Develop positive working relationships with customers, handling enquiries and resolving issues promptly.
- Update and maintain the CRM system with accurate and up-to-date information.
- Process and fulfil customer orders accurately and efficiently.
- Liaise with the sales team, supply partners and customers to coordinate the supply and delivery of products, support and services.
- Prepare reports and documentation for customer meetings and assist with following up on agreed actions.
- Provide general administration and customer support as required.
Telematics project support
- Assist with the administration and delivery of telematics projects from order through to completion.
- Manage appointment bookings with drivers for vehicle installations.
- Coordinate appointment bookings with engineering and installation companies.
- Arrange and coordinate revisit appointments where required.
- Receive and check installation job sheets, ensuring all mandatory information has been completed accurately.
- Monitor telematics stock levels and support stock management activities.
- Set up new users and maintain accurate user and system information.
- Liaise with customers, engineers, suppliers and internal teams to ensure telematics projects are delivered efficiently and to schedule.
- Maintain accurate project records and support the team with project administration and reporting.
Finance administration
- Code and post expense invoices to Sage.
- Code and post cost of sale invoices to Sage.
- Record telematics cost of sale invoices on the job costing control sheet.
- Raise sales invoices relating to telematics projects.
- Support the existing Accounts team with sales and purchase invoice processing.
- Reconcile purchase invoice statements and investigate any discrepancies.
- Provide administrative support to the Finance Director with project-related processing and finance activities.
- Maintain accurate financial and project records, ensuring information is processed in a timely manner.

What will you need?
Qualifications
- Minimum education at GCSE level.
- NVQ Level 2 or Apprenticeship in Business Administration, Customer Service, Finance or a related discipline would be advantageous.
Experience
- Previous experience in a customer service, administration, finance or business support role.
- Experience of working in an administrative environment with responsibility for maintaining accurate records.
- Experience of processing invoices or working with finance systems would be advantageous.
- Experience using Sage or a similar finance system would be advantageous.
- Experience coordinating appointments, projects, installations or field-based services would be advantageous.
Skills
- Intermediate level in Microsoft Office applications, including Word and Excel.
- Excellent attention to detail and a high level of accuracy.
- Highly organised, with the ability to manage multiple tasks and competing priorities.
- Good numerical and administrative skills.
- Strong communication skills, both verbal and written.
- Working knowledge of CRM and finance applications is advantageous.
- Strong work ethic and a proactive approach to completing tasks.
- Ability to work autonomously and take ownership of responsibilities.
- Team player with the ability to work effectively under pressure.
- Professional and customer-focused approach.
- Ability to identify issues, investigate discrepancies and follow tasks through to resolution.
