Role overview
The People Operations Assistant is responsible for supporting the delivery of high‑quality, compliant, and employee‑focused people operations across the organisation. This role co ordinates day‑to‑day people services accurately, consistently, and in line with clear processes and service standards.
The People Operations Assistant supports the People Operations Manager to co-ordinate end‑to‑end employee lifecycle administration, maintaining accurate people data and documentation, supporting the creation of the monthly payroll while helping to improve policies, processes, and systems.
With a strong focus on compliance, risk, and governance, the role ensures adherence to employment law, data protection, and internal controls. The People Operations Assistant also contributes to wider business operations through cross‑functional operational initiatives and being one of the principal contact points for candidates and employees — all with the aim of delivering an excellent employee experience.
Key Responsibilities
HR Administration & Employee Lifecycle
• Provide administrative support across the employee lifecycle, including onboarding, employee changes, and leavers
• Maintain accurate employee data within the People Management System (HiBob), ensuring data protection standards are met
• Draft and issue employment documentation, including contracts, letters, and policy updates
• Act as the first line of support for employee queries through the People Team mailbox, responding or escalating queries as appropriate
• Support the maintenance and continuous improvement of people operations processes and procedures
Payroll, Pensions & Benefits
• Support the administration of the outsourced payroll (SD Worx), ensuring all inputs are prepared accurately and in line with payroll deadlines
• Support employee benefits and pensions administration, including responding to employee queries and maintenance of benefits portals.
Business Operations & Administration
• Assist with invoicing processes, including raising purchase orders, tracking invoices, and reconciling with Finance
• Provide administrative support on operational projects, process improvements, and cross-functional initiatives Compliance, Risk & Governance
• Assist with maintaining compliance across people operations activities, ensuring adherence to employment law and internal policies
• Support documentation and record-keeping for audits, regulatory requests, and internal reviews
• Help track changes in employment legislation and support implementation of required updates
• Maintain accurate records and support the documentation of processes and controls
Regulatory responsibilities | Compliance/T&C
• Ability to demonstrate an understanding of the regulatory framework relevant to the role, whilst practising effective risk management taking account of outcomes for clients
• Understand, follow and demonstrate compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business. Follow principles and rules of the Financial Conduct Authority (FCA) and the internal requirements set out in the Compliance Manual, local and Group Compliance and Risk policies
About you | Qualifications, skills and strengths
• Proven experience in an administrative HR or Payroll department, including employee lifecycle processes (joiners/movers/leavers)
• Excellent organisational skills with the ability to manage multiple workstreams
• High attention to detail and strong process orientation
• Confident stakeholder management and communication skills
• Experience in a fast-growing or regulated environment
• Experience with HRIS (HiBob preferred) or payroll systems (SD Worx preferred)
• Intermediate skills in MS Office applications including Word (formatting, mail merge) and Excel (basic formulae) preferred
