Job Title: Reprographics Officer Grade/Salary Range: Grade C, 37 hours per week (term time plus one week)
To provide a high‑quality, efficient, and cost‑effective printing, copying and finishing service to support teaching, learning and school administration.
The Reprographics Officer ensures that all school materials, including but not limited to daily lesson worksheets, exam papers, promotional brochures and event programmes, are produced accurately, safely and on time.
Responsibilities
- Production & Finishing (High‑volume printing)
- Operate and maintain digital high‑volume photocopiers, printers and multifunction devices (MFDs).
- Perform binding (comb, wire, thermal), laminating, booklet making, folding, cutting and guillotining to a high standard.
- Manage the production of specialised materials including exam papers (strict confidentiality), booklets, newsletters, certificates and signage.
- Workflow & Resource Management
- Prioritise incoming print requests from teaching and administrative staff and manage expectations during peak periods (exam seasons, start of term).
- Monitor and order paper, toner, binding elements and other consumables – ensuring stock levels are maintained.
- Proofread and check formatting of submitted materials before mass production to guarantee clarity and professional presentation.
- Maintenance & IT Support
- Carry out basic maintenance, routine cleaning and troubleshooting of reprographics machinery (un‑jamming paper, replacing toner/waste containers).
- Act as the primary point of contact for external service engineers for minor breakdowns or scheduled servicing.
- Assist staff with converting documents from Word to PDF for best print quality.
- Administration & Cross‑Charging
- Track department usage and assist in reallocating print costs or managing staff print credits as required.
- Maintain a clean, organised and safe working environment and ensure safe operation of heavy equipment such as electric guillotines and laminators.

Qualifications & Attributes
- First Aid at work certificate.
- GCSE Maths and English (A‑C) or equivalent.
- Experience delivering to deadlines and using reprographic equipment to a high standard.
- Experience working with confidential information.
- Strong IT skills, including Microsoft Office (Power Point, Excel, Word, Outlook).
- Excellent planning and organisational skills.
- Ability to work independently and organise own workload.
- Strong interpersonal and communication skills (oral and written).
- Problem‑solving and analytical skills.
- Good team player and willingness to undertake further training.
- Commitment to safeguarding and promoting the welfare of children.
- Fluency in spoken and written English to a suitable level for the role.
- Valid driving licence.
