We are also a Fraternity comprising prominent members of the maritime community.
The Role
We are seeking a highly organised and proactive Executive Assistant to support the Secretary to the Corporation and Chief Executive of its Charities during a period of maternity leave. This is a pivotal role, combining high-level administrative support with responsibility for governance, HR, and data protection functions.
Key Responsibilities:
- Oversee the Secretary’s inbox and correspondence Draft and prepare reports, letters, and other documentation.
- Organise and support Court, Board, and Sub-Committee meetings, including minute-taking.
- Lead on departmental Governance, HR, and Data Protection (with GLA support) Maintain databases and filing systems.
- Maintain governance and data protection records and processes.
- Manage staff records and recruitment processes.
- Represent the Secretary at meetings as required.
- Manage the Secretary’s diary, travel, and meeting arrangements.
- Liaise with internal staff and external stakeholders, including VIPs and HRH The Master’s Office.
About You:
- Minimum 3 years’ experience in a similar role.
- Experience in a busy office environment.
- Flexible and adaptable with excellent organisational skills.
- Educated to degree level or A-Levels (or equivalent) in English.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and database systems.
- Strong verbal and written communication skills.
- Confident and accurate minute-taker.
