We’re looking for an organised, proactive Service Coordinator to join our fast-paced HVAC service team in Nottingham. This is a fully office-based role, perfect for someone who thrives in a busy environment and enjoys keeping operations running smoothly.
As a key part of our service department, you’ll be coordinating engineers, managing schedules, tracking jobs, handling deliveries, and ensuring our clients receive a professional and efficient service at every step.
What You’ll Be Doing- Planning, scheduling, and coordinating engineers for PPM and reactive callouts.
- Using Job logic to log, track, and update all job details.
- Liaising with customers to confirm appointments and provide job updates.
- Managing deliveries, parts orders, and distributing materials to engineers or sites.
- Supporting the Service Manager with admin tasks, quotations, and reports.
- Monitoring engineer timesheets and assisting with invoicing and job closure.
- Handling general office admin including phone calls, emails, and inter-department coordination.
- Maintaining strong relationships with clients, engineers, and suppliers.
- Ensuring compliance with F-Gas, H&S, and company procedures.
- Experience as a Service Coordinator, Scheduler, or Service Administrator (HVAC/M&E/FM preferred).
- Confident using Job logic or similar service management/CAFM software.
- Strong organisational and multitasking skills.
- Excellent communication and customer service abilities.
- Proficient in Microsoft Office (Outlook, Excel, Word).
- High attention to detail with a proactive, problem-solving mindset.
- Knowledge of HVAC terminology or engineering operations (desirable, not essential).
- GCSEs or equivalent; NVQ in Business Administration is a bonus.
- Competitive salary £27,000–£30,000 depending on experience.
- 40-hour week, Monday–Friday.
- 20 days holiday + bank holidays.
