The Business Operations Assistant provides critical administrative support within the Sales & Operations team, enabling smooth client engagements, streamlined internal processes, and efficient management of client orders and purchasing. This role is essential in ensuring accuracy, timeliness, and quality across all administrative and operational tasks, directly supporting Relationship Managers (RMs), Internal Account Managers (IAMs), and technical teams.
Key Responsibilities
- Purchasing and Order Management: Raise purchase orders, negotiating with suppliers to secure competitive pricing. Source and specify IT hardware and software, ensuring optimal pricing and timely delivery. Manage back orders, including identifying and sourcing alternative suppliers as necessary.
- Reporting & Documentation: Run regular reports for clients and internal stakeholders. Create ad-hoc reports on request from Relationship Managers or Internal Account Managers. Respond effectively to proactive visit reports and recommendations provided by technical engineers.
- Mailbox Management: Manage the purchasing mailbox, promptly responding to internal and external enquiries. Mailbox cover for Relationship Managers and Internal Account Managers.
- Ticket & CRM Management: Manage tickets and boards within CRM software (ConnectWise), ensuring accuracy, completeness, and timely processing. Regularly update tickets with relevant client and order information to maintain transparency across internal teams.
Qualifications and Skills
- Essential: Minimum of 1 year of experience in an administrative role. Proficiency in Microsoft Office suite (Excel, Outlook, Word). Excellent telephone manner and communication skills. Strong organisational and administrative skills, with keen attention to detail.
- Desirable: Previous experience within IT services, purchasing, or finance administration. Familiarity with IT hardware/software procurement. Previous experience using CRM software (ConnectWise or similar).
