Personal Assistant and Property Legal Assistant to join our Group Support Functions and play a pivotal role in supporting the smooth operation of our Group Property department.

This is far more than a standard administrative role.

You’ll combine executive PA support with specialised maintenance of property and legal workflows, serving as a key operational bridge between the Group Property Director, in-house legal counsel, surveyors and external law firms.

The Opportunity

Property Legal Assistant , reporting directly to the Group Property Director, you will provide proactive administrative and operational support across the Property function.

You will balance traditional executive assistant duties for the Group Property Director alongside dedicated legal administration and property transaction coordination.

From managing complex legal documentation packs, Land Registry requisitions and Powers of Attorney, to handling financial purchase orders in Oracle and organising departmental events.

Your role will be vital to ensuring high operational efficiency, accuracy, and legal compliance.

  • Executive

Administration: Managing diaries, appointments and travel for the Group Property Director, preparing meeting agendas, taking accurate minutes and following up on agreed actions.

  • Legal Support & Documentation: Preparing, organising and coordinating legal documentation for execution.

Managing deed storage, processing legal correspondence and handling HM Land Registry requisitions and Powers of Attorney.

Coordination: Supporting acquisitions, disposals and lease transactions by preparing correspondence, assembling document packs and monitoring key transaction deadlines.

Administration: Raising and receipting purchase orders using Oracle, processing BACS and CHAPS payment requests accurately and supporting invoice processing within agreed timelines.

  • Departmental

Operations: Onboarding new starters, coordinating IT equipment requests, managing shared inboxes and organising department wide conferences, meetings and charity events.

  • Information & Compliance Management: Maintaining secure physical and electronic filing systems in accordance with strict GDPR guidelines and company data security procedures.
  • Stakeholder

Relations: Building effective working relationships across internal property teams, in-house solicitors, external panel law firms and official bodies such as HM Land Registry.

About You

You’ll be a highly organised, presentable and adaptable administrator who balances absolute discretion with strong initiative and a calm demeanor under pressure.

Essential

  • Proven experience as a Legal Secretary, Personal Assistant, Executive Assistant, or Legal Administrator.
  • Prior experience handling property documentation, legal administration and a solid understanding of commercial property transactions.
  • Exceptional organisational and time-management skills, with the ability to prioritise tasks and consistently meet tight deadlines.
  • Outstanding written and verbal communication skills across all stakeholder levels.
  • Strong IT skills, including advanced proficiency in Google applications, alongside a firm grasp of confidentiality and GDPR regulations.
  • Good standard of secondary education (GCSEs or equivalent) including English and Mathematics.
  • We’d Particularly Like to See
  • Secretarial, Business Administration or Legal Assistant certifications (e. g CILEx or equivalent)
  • Prior experience within the building materials, construction or commercial property sectors.
  • Practical familiarity with the HM Land Registry portal, Land Registry applications, commercial lease structures and legal terminology.
  • Working knowledge of Oracle systems and legal/property document management tools.
