12-month fixed-term contract to provide administrative support to Health & Safety Manager and ESG Manager, occasionally stepping up during holiday or sickness absence.
Responsibilities
- Attending and note-taking for H&S meetings; preparing and circulating minutes
- Monitoring H&S Inbox and highlighting any urgent issues to H&S Manager
- Co-ordinating diaries for meetings, safety audits and DSE audits
- Preparing meeting agendas and slide decks (with support of Document Production team)
- Co-ordinating in-house safety training, maintaining training records
- Participating in workplace inspections/first aid kit checks
- Conducting initial DSE face-to-face assessments (training provided if needed)
- Supporting in document collation for Fire Risk Assessment, external audits etc.
- Sense-checking H&S documents / Hub information for clarity and accessibility
- Delivery of H&S induction training for new starters (occasionally in absence of H&S Manager)
- Supporting collation of data for client ESG info packs
- Supporting collation of documents for ESG accreditation (WELL and ISO14001)
- Chasing up document requests
- Diary management
Qualifications
- Previous experience in ESG, H&S or Facilities department
- Experience in a similar professional setting and understanding of corporate expectations
- Ability to prioritise competing workloads
- Proficient with MS Suite software
- Previous experience of SharePoint or iManage or similar document storage and sharing platforms
- Understanding of ServiceNow or similar task management platforms
- Interest or ambitions in the field of ESG or H&S would be beneficial
