We’re looking for an Executive Assistant to join our team!Reporting to the Managing Director of Le Boat, you’ll provide high-quality administrative support to the Le Boat Executive Team. The role will include diary management, travel coordination and expense processing, as well as leading the planning and organisation of two key annual conferences for our Distribution and Operations teams.
The role is25 hours perweek, with flexibilityaround the workingpattern. Ideally, we’dlike these hoursto be spreadacross Monday toFriday, but we’rehappy to considera four-dayarrangement for theright candidate. Wealso offer flexiblehybrid working, with3–4 daysper month inour Surbiton office.

What you’ll do:
- Manage diaries forthe Le BoatManaging Director andExecutive Team, maintainingup-to-datecalendars of meetingsand deadlines, resolvingconflicts and ensuringeveryoneis fully prepared.
- Schedule company-wide, departmental and teammeetings as required, ensuring they arearranged efficiently andin good time.
- Proactively prepare meetingdocuments and agendas, and follow upon action pointsas required.
- Liaise with internationalcolleagues to ensureappropriate attendanceat meetings, eventsand conferences. Thismay occasionally requireworking outside corehours, including weekendsor UK bankholidays.
- Lead the organisationof twomajor annual conferencesfor our Operationsand Distribution teams, held in internationallocations, including travellingto and attendingthe events toensure their smoothrunning.
- Proactively coordinate domesticand international travelitineraries, balancingtime efficiency withcost-effectiveness.
- Collate, prepare andsubmit expense reportson behalf ofExecutive Team members.
- Track annual leaverequests for theExecutive Team, securingManagingDirector approval andhighlighting any potentialconflicts.
- Lead the creationand distribution ofthe monthly LeBoat internal newsletter, ensuring engaging andrelevant content forour global employeebase.
- Support with HRadministration, includingcontracts and HRISupdates.
- Collaborate with otherExecutive Assistants acrossTravelopia to promoteefficiency and effectivecross-functional working.
- Support the preparationand delivery ofpresentations.
- Provideadditional ad hocadministrative supportto the ExecutiveTeam as required.
What you’ll bring:
- Previous experience asa Personal Assistant, Executive Assistant, or in anevents-related role.
- A high levelof discretion andthe ability tomaintain absolute confidentiality.
- Fluency in English, both written andspoken; French languageskills are anadvantage but notessential.
- Excellent knowledge of Microsoft Office, with the abilityand willingness touse AI toolssuch as MicrosoftCopilot to improveefficiency and productivity.
- Excellent organisationaland communication skills.
- Confidence working withcolleagues at alllevels, including theTravelopiaCEO.
- Strong prioritisation andtime-management skills.
- Flexibility and strongproblem-solving skills, particularly when workingunder pressure andto tight deadlines.
- Exceptional attention todetail anda commitment todelivering high-qualitywork.
- A confident andassertive approach.
