Our client is looking for a reliable and organised Operations / Project Administrator to provide administrative and coordination support across a range of small projects. This role is suited to someone with a positive attitude, strong attention to detail and a willingness to learn. This is an office-based role, working Monday to Friday. Please note, due to our client’s location, you will need access to your own vehicle.
Key Responsibilities:
- Assist with setting up new projects and keeping records up to date.
- Track tasks, deadlines and basic project milestones.
- Flag delays or missing information to senior team members.
- Assist with coordinating subcontractor attendance and schedules.
- Maintain subcontractor records, contact details and documentation.
- Support daily and weekly check-ins with subcontractors as required.
- Support communication between internal teams, subcontractors and customers.
- Send meeting invites, updates, reminders and confirmations.
- Take notes from meetings and circulate actions where needed.
- Raise purchase orders for subcontractors and ad-hoc materials.
- Track PO approvals and ensure documentation is correctly filed.
- Assist with checking job costs prior to invoicing.
- Maintain accurate financial and cost records.
- Assist with preparing and filing Risk Assessments and Method Statements (RAMS).
- Support the collection and filing of Point of Work Risk Assessments (POWRA).
- Ensure health and safety documentation is complete and stored correctly.
- Help with submitting required compliance documents to customers.
- Update project management systems with progress and status information.
Skills & Experience:
- Proven experience in sub-contractor management and project coordination.
- Experience in operations, logistics, manufacturing or construction environments.
- Good organisational and time-management skills.
- Strong attention to detail.
- Confident communication skills (written and verbal).
- Proficiency in Microsoft Office (Excel, Word, Outlook).
