We are working with a growing manufacturing business who are looking to appoint an additional Document Administrator due to increased workload. Reporting into one of the Project Managers, you will be responsible for managing all project related company documents while ensuring their accuracy, quality, and integrity. The ideal candidate will be a highly organised and methodical administrator with a keen eye for detail and be a strong computer user, particularly in Word and Excel. Full training will be given. The working week is Monday-Thursday with week 1 Friday off and week 2 Friday working 4 hours. The working hours are flexible starting between 07:00-09:00 and finishing between 16:15-18:15 Monday-Thursday, same start time on the Friday worked but finishing between 11:00-13:00.
Responsibilities of Document Administrator:
- Providing formal project document submissions and receipts between Company and its clients/suppliers.
- Overall owner and responsibility for maintaining multiple project document schedules.
- Checking document format, numbering and revision status against specific requirements.
- Continuous liaising with the project team members to ensure awareness of document status.
- Issue of regular overdue documentation schedule to suppliers and clients.
- General administrative support to the project team.
- There may also be a need to provide some general administrative duties, occasional reception cover and manage external business calls.
Skills and experiences required of Document Administrator:
- Strong administrative skills in a document process driven environment.
- The ability to perform tasks accurately on a repeated basis is essential.
- A methodical and systematic approach is required to ensure elements of the processes are fully executed before starting another.
- Applicants shall be focussed, thus allowing work activities to be completed fast and efficiently without letting distractions interfere.
- The ability to question, challenge and a desire to improve systems is also a desirable quality.
- Good interpersonal and communication skills.
