The Role
As an Executive Personal Assistant within the Mayor’s Team, you will provide high‑quality executive support to a complex, high‑profile portfolio. You will handle sensitive information, anticipate needs, and build trusted working relationships with senior leaders and partners across Greater Manchester and beyond.
What You’ll Do
- Manage complex, computerised diaries and coordinate meetings, briefings, and high‑level engagements.
- Oversee inboxes and filing/cataloguing systems, ensuring information is organised and actioned in a timely way.
- Create and maintain shared documents and collaborative workspaces (Microsoft 365).
- Carry out desktop research and prepare concise notes, briefing materials and supporting documents.
- Produce agendas, attend meetings, and provide accurate notes and minutes.
- Compile and present management information from IT systems.
- Work effectively to competing deadlines, supporting colleagues across the Business Support Team.
- Build strong relationships with a wide range of internal and external partners including Local Authorities, Politicians, Regeneration Partnerships, GMP, Government Departments, Universities, private‑sector organisations, and the voluntary and community sector.
- Demonstrate flexibility, professionalism and discretion in a fast‑paced, politically sensitive environment.
About You
You take a professional, customer‑focused approach and pride yourself on enabling senior leaders to deliver at pace. You can demonstrate:
- Significant PA/EA and senior‑level administration experience, including inbox and diary management.
- Strong organisational skills, attention to detail and the ability to manage multiple priorities calmly and confidentially.
- Proficiency in Microsoft 365, including shared documents and collaborative workspaces.
- Experience compiling and presenting management information from digital systems.
- Strong teamwork skills and a proven ability to work to deadlines.
- Political awareness and experience working within a political or public‑sector environment.
- The ability to build effective relationships with diverse partners, from senior officials and elected members to community and external stakeholders.
- The willingness to work flexibly and reactively, including occasional evenings and weekends when required.

Our hybrid working policy sets out a flexible approach, combining attendance at our Manchester city centre office / Fire and Rescue service HQ in Swinton / other location with remote working, typically from home; the location of work is primarily dictated by the needs of the business: ‘Do what is right for you and the business on that day’. If appointed to the role you will work with your manager to agree and regularly review the best working pattern for you, your team and your work.
