An exciting opportunity has arisen to become an integral member of the Therapies Department supporting the Occupational Therapy, Speech and Language, Physiotherapy and Dietetic Teams. The department provides a range of therapy services to inpatients and outpatients throughout various specialities and departments including paediatric care. The post holder will play a key role in providing first line support for patients ensuring a smooth running of clinics and administration tasks throughout the department.
Full time hours are available, however, we welcome applicants seeking flexible working and/or part time hours. This role provides administrative support and service to the therapies department including development and maintenance of efficient office procedures, booking and managing out-patient appointments for patients and being a key contact point for patients accessing therapy services at East Surrey Hospital.
We are looking for someone with excellent communication skills as the role involves liaising with colleagues of all levels, patients and families. The ideal candidate will be highly organised, have good attention to detail, be willing to learn new IT systems and think on their feet. You will be welcomed as part of a well-established team and your personal and professional development actively managed by the leadership team allowing opportunities for growth in the role.
Main duties of the job:- Provide a range of secretarial and administrative support, including typing of letters/minutes/reports, filing, photocopying and production of patient resources.
- Organise outpatient clinics and arrange initial and follow-up appointments, liaising with therapists and patients. Advise patients directly of any cancellations or change in clinic times.
- Liaise with clinical staff to undertake administrative support for project/audit work, including preparation of databases, spreadsheets and reports e.g. use of patient administration systems to maintain patient contact records.
- Liaise with other professionals, departments and patients on behalf of the therapists using the appropriate level of knowledge and judgement in order to respond to queries and take necessary action.
- Liaise with outside agencies to ensure accuracy of information, including medical records, transport office and GPs.

For part time roles you will receive a pro rata'd (proportional) salary payment based on the appropriate pay step/point and hours worked in accordance with AfC and all medical and dental terms and conditions.
