A General Practice Assistant (GPA) plays a key role in supporting the smooth running of GP clinics by taking on routine administrative and basic clinical tasks. This includes responsibilities such as preparing consultation rooms, managing patient flow, updating records, processing prescriptions, and performing observations like blood pressure or temperature checks. By handling these essential but time-consuming duties, the GPA enables GPs to dedicate more time to direct patient care, improving efficiency, reducing delays, and enhancing the overall patient experience.

Main duties of the job

  • Oversee and process clinical correspondence, workflow tasks, and coding using appropriate IT systems.
  • Manage QOF recall administration and maintain accurate patient registers.
  • Coordinate patient appointments, referrals, diagnostic tests, and follow-up consultations.
  • Provide administrative support for safeguarding processes and palliative care pathways.
  • Administer ADHD and autism pathways, including liaison with external agencies such as education services.
  • Communicate effectively with external providers, including on-call doctors, to facilitate admissions or obtain clinical advice while ensuring continuity of GP consultations.
  • Complete core sections of non-clinical forms (e.g., insurance, mortgage, benefits) for GP review and approval.
  • Prepare patients for GP consultations by taking a brief history and recording basic observations.
  • Support long-term condition (LTC) reviews and NHS Health Checks, including follow-up actions.

Clinical Duties (where trained and competent)

  • Perform phlebotomy and basic observations (e.g., blood pressure).
  • Conduct ECGs and urinalysis.
  • Administer vaccinations under an approved Patient Specific Direction (PSD).
  • Carry out urine dip tests and other routine checks as required.

Person specification

  • Good general level of education to GCSE (A* - C Grade) or NVQ level 2.
  • Competence in Microsoft Office packages (Outlook, Word, Excel).
  • HCA level clinical skills.
  • Experience of working within General Practice or the healthcare system.
  • Experience using EMIS, Docman and other IT systems.
  • Previous administrative experience.

Communication Skills

  • Ability to remain calm when dealing with difficult or distressed people.
  • Able to think ahead and anticipate issues.
  • Ability to be assertive, but polite and patient.

Analytical and Judgement Skills

  • Ability to compile and analyse statistical information.

Planning Skills

  • Ability to work on own initiative and as part of a team.
  • Excellent organisation skills required along with ability to prioritise and work to very high standards of performance.
