An opportunity has arisen for a Business Admin Apprentice to work within the Maternity & Gynaecology Care Unit, Family Care Division. The main duties of the role include providing support within our Maternity & Gynaecology Care Unit and ensuring a professional co-ordination and telephone/reception service while maintaining confidentiality at all times.

Main duties of the job:

  • Support to a number of admin departments over the services.
  • Responsible for providing a friendly and personal checking in of patients and their families/carers, and managing their expectations at busy times.
  • Filing of reports and correspondence in patients’ case notes, in accordance with hospital procedures.
  • Maintain patients’ case notes including updating and documenting any changes in patient details.
  • Reconciling clinics in line with timescales.
  • Undertake clerical duties associated with the discharge or transfer of patients from the Consultant care, including any transport arrangements which may be required, booking follow-up appointments, and ensuring the safe return of case notes to the appropriate departments.
  • Answer ward telephones, receive and relay messages.
  • Receive and distribute patients’ personal mail and, where appropriate, forward mail.
  • Undertake ad-hoc messenger duties as required.
  • Demonstrate a flexible approach to department duties where appropriate.
  • Making up of patient files to ensure the department workflow is consistent.
  • Be proactive in escalating any concerns of any kind to line management.
  • Any other duties in the Division, which may be delegated from time to time by the Service Manager or Care Unit co-ordinator.

Chesterfield Royal Hospital was officially opened by Queen Elizabeth II in 1985 and since then it has continued to expand and modernise, currently holding approximately 550 beds. We provide acute in-patient and out-patient care for Chesterfield and the surrounding rural area of North Derbyshire, serving a population of approximately 350,000 people.

Person specification:

  • Qualifications: Educated to GCSE grade C or above standard including English & Maths (or equivalent).
  • Experience: Experience of using Microsoft Computer programmes; Word, Excel etc. Any work experience in an office environment would be advantageous.
  • Skills: Willing to undertake further training, clear understanding of confidentiality, ability to work with a range of databases/spreadsheets and bespoke software applications.
  • Personal Attributes: Good verbal and written communication skills, flexibility, professional appearance, someone with an interest in a development opportunity within a hospital environment, demonstrates our Proud to CARE Values: Compassion, Ambition, Respect, Encouragement.
