The Audio‑Typist plays a vital role in supporting the Oncology Department by delivering an efficient, accurate and timely typing service while assisting the medical secretaries with a range of administrative tasks. The post holder is responsible for managing their workload in line with the fast‑paced and continually changing demands of the service, ensuring that all work is prioritised appropriately and completed to a high standard. The role requires the ability to work independently, using initiative to resolve day‑to‑day issues and seeking guidance from colleagues only when matters fall outside their own area of expertise. Through strong organisation, attention to detail and a commitment to excellent patient care, the post holder contributes to the smooth running of the department and the delivery of a responsive, high‑quality service.
Main duties of the job:
- To provide an excellent standard of typing support to the Oncology team including the CNS team. This may include touch, digital audio and copy typing.
- The job will require typing and checking of letters at speed from dictation, and other tasks associated with the production and circulation of clinical correspondence.
- To validate dictations to ensure the patient details are correct by cross referencing the profiling window with the dictation.
- To recognise inconsistencies and anomalies within dictations and elevate to the named Author, Medical Secretary or Assistant Service Manager if necessary.
- To print completed correspondence and organise letters into envelopes for posting.
- To scan relevant clinical correspondence to the electronic patient records system Mediviewer.
- Undertaking data input duties to ensure computerised records are kept up to date and accurate at all times, including filing and uploading on Mediviewer.
- Checking the secretarial team email and escalating concerns and queries from patients to the appropriate secretary and/or clinician.
- Observing strict confidentiality in all matters concerning patients and visitors.
- To be aware of Departmental Health and Safety requirements.
- To carry out any other reasonable duties as assigned by the Manager commensurate with grade.
Person specification:
- Qualifications: General Education to NVQ level II or equivalent; Knowledge of IPM/ICE/Extramed.
- Experience: Working in an administrative role; Working on your own initiative; Knowledge/experience of computer systems; NHS experience.
- Knowledge: Understanding of the need for confidentiality awareness at all times; Understanding of the NHS and medical terminology.
- Personal Skills: Able to communicate clearly with a wide range of colleagues, both written and verbally; Good interpersonal skills; Displays tact and diplomacy when dealing with colleagues; Competent in the use of Windows packages to include Word, Excel and Email; Good organisational skills; Able to work well under pressure and prioritise.
