Job overview

EOC Administration Officer will support the EOC Operational and Senior Management Teams in carrying out administration functions associated with their varying roles. This includes but not limited to training and onboarding admin of new staff, governance processes and general administrative duties such as note taking.

They will be required to support the wider EOC in terms of equipment procurement delivery/returns and also co-ordination Staff Recognition & Awareness initiatives.

They will managed and coordinated by the EOC Administration Coordinator to ensure that EOC have a consistent source of administration support.

Main duties of the job

The EOC Administration Officer will work as part of a team to arrange, facilitate and record the various meetings which take place that pertain to EOC core business.

They will collate, disseminate and update and associated documentation for these meetings. They will work under their own initiative to ensure that recurring tasks are completed. This may include but is not limited to arranging recurring meetings or preparing regular staff communication.

The EOC Administration officer will have freedom to act, responding to workload in conjunction with EOC Administrator Coordinator, ensuring all tasks are completed on time and to a high standard.

They will handle confidential data in accordance with current regulations and will report to interested parties as requested by the Operational and Senior EOC management Team.

Detailed job description and main responsibilities

To establish good working relationships at all levels and in all disciplines throughout the Trust as appropriate to carry out role within the department

  • Maintain a professional working relationship with members of the public, colleagues and other health care professionals
  • To ensure all communication adheres to the YAS values and is in-line with the behavioural framework
  • Working closely with Operational Managers within EOC to support the application of YAS policies and procedures
  • To produce timely documentation following meetings to all relevant delegates, requiring prolonged periods of concentration to ensure accuracy of minutes
  • To provide administration support to EOC functions which may require working with both internal and external stakeholders
  • Ensuring the timely communication of EOC Awareness and EOC alerts conveying learning from untoward incidents to EOC staff
  • To work closely as a team to provide a cohesive and centralised administrative function for EOC
  • Communicate routine, complex and sensitive information displaying tact, diplomacy, sensitivity and empathy
