Job overview
An opportunity for a Full time Administrator to join our friendly and supportive Mole Valley Neighbourhood Mental Health service.
We are a community-based service, providing specialist treatment and support for people who have severe and enduring mental health problems living in the Mole Valley area who are registered with a local GP.
As the Administrator, you will provide high-quality administrative and secretarial support within a busy team environment. The post holder will play a key role in ensuring the smooth day-to-day operation of the service by managing referrals, arranging appointments, processing correspondence, maintaining electronic records, and providing effective communication support to colleagues, service users, and external stakeholders.
As a part of the interview process, the successful candidates will attend a Admin assessment after the interview. The details will be provided at that point by the HR office
Main duties of the job
Provide comprehensive administrative support by processing referrals, managing appointments, preparing correspondence, maintaining patient records, and handling emails and telephone enquiries.
Support the efficient day-to-day operation of the service through document management, scanning and uploading records, arranging meetings, booking rooms, taking minutes, and carrying out general office administration tasks.
Act as a key point of contact for service users and colleagues, ensuring enquiries and communications are handled professionally, accurately, and in a timely manner.
Maintain administrative systems and resources, including processing discharge paperwork, raising purchase requisitions, ordering supplies, and supporting the management of clinic activities.
Provide reception and operational support where required, including managing visitor access, handling post and deliveries, monitoring reception processes, and providing cover for administrative colleagues during periods of absence.
Contribute to service quality and team effectiveness by maintaining mandatory training compliance and supporting the smooth delivery of healthcare services.
