We are looking to recruit a highly organised and motivated individual to join our friendly, busy Estates Admin Team as a Capital Administrative Officer.
Having a keen eye for detail, you will support the Capital programme/projects team with the delivery of the Estates Department Capital Programme. You will be responsible for planning and supporting a programme of formal meetings, such as Capital Control Group, Project Boards, Sub group meetings etc,(preparing agendas and papers as required). You will need strong MS office skills including Excel. You will also provide cross cover within the department.
The successful candidate will demonstrate excellent interpersonal and organisational skills as well as competency in IT. We are looking for a team player who is adaptable and can demonstrate outstanding communication skills & motivation .You will also provide cross cover within the department so a flexible approach is essnetial.

Main duties of the job
To assist in the preparation of Tender & Quotation documentation for Capital schemes, monitoring and producing detailed spread sheets regards Capital Expenditure.
Acting as the first point of contact for enquires into the Capital team. Update and maintains project files and databases.
Provide an efficient and comprehensive administrative support service to the Estates Department and in particular the Capital Programme/Projects Team including comprehensive diary management and PA support to the Head of Capital.

Qualifications and/or Knowledge
- GCSE standard of education including English and Mathematics
- RSA level 3 / Business Administration or equivalent relevant experience
- Diploma level education or equivalent level experience
- Project management
Experience
- Use of Microsoft Office, including Project
- Experience of practical administrative work, including arranging meetings, handling telephone enquiries, receiving visitors
- Excellent administrative skills with project monitoring experience
- Accurate Minute taker
- Use of Oracle system
- Ability to plan own workload against conflicting demands and prioritise work from more than one manager to meet conflicting deadlines
- Excellent communication and interpersonal skills with the ability to communicate complex matters clearly and precisely
- Ability to handle difficult situations in a calm and firm manner
- Commitment to attend staff training and participate in own development through supervision and performance management
- Some ability to speak, read and/or write Welsh, or an eagerness to learn.
