We are looking for a People Operations Advisor to join our UK People Operations team. Reporting to the UK People Operations Team Manager, you will support employees across the business, providing high‑quality HR support and contributing to the growth and culture of Trainline.

Responsibilities

  • Provide high‑quality first‑line support to Trainliners via the People mailbox, resolving HR queries within agreed SLAs.
  • Maintain accurate people data in HiBob, flagging inconsistencies or risks.
  • Offer clear guidance to staff and managers on People policies, practices, and processes, escalating complex cases as needed.
  • Support monthly UK payroll preparation, validation, and processing, ensuring alignment with HiBob, payroll workflows, and Finance.
  • Assist People Business Partners with cyclical People processes (absence management, performance, salary review, L&D, engagement) by preparing data, generating reports, and running checks.
  • Coordinate onboarding activities, pre‑boarding support, background checks, Right to Work documentation, and new‑starter data accuracy.
  • Work closely with Accounts Payable to process People‑related invoices and POs accurately.
  • Develop and interpret weekly/monthly People reports using HiBob, Excel/Sheets, or BI dashboards to identify trends and insights.
  • Support the review, improvement, and implementation of People policies, processes, and templates.
  • Contribute to People team projects and continuous improvement initiatives, testing new HRIS features and documenting workflows.
  • Champion tech‑forward approaches by promoting HR systems, automation, and digital tools to enhance efficiency.

Qualifications

  • Foundational understanding of HR best practices, employment law, and core HR processes.
  • Experience supporting payroll administration in the UK, including basic knowledge of UK tax, NI, and statutory requirements.
  • Comfort with HR systems (HiBob or similar) and a genuine interest in technology to streamline People processes.
  • Data‑literate, able to produce, interpret, and validate reports, using insights to support business needs.
  • Experience with process improvement, workflow documentation, and HRIS feature testing.
  • Knowledge of the hiring lifecycle, onboarding processes, and Right to Work/Visa compliance.
  • Strong verbal and written communication skills, with the ability to explain processes clearly and professionally.
  • Attention to detail and excellent organisational and time‑management skills.
  • Proficiency with Microsoft Office/Google Workspace, especially Excel/Sheets for data handling and reporting.
