Introducing the EA role at Trainline
We’re looking for an experienced Executive Assistant to be a true right-hand partner to our CPO (Product) and Product VPs - bringing calm, clarity and momentum to a demanding, globally connected schedule. You’ll manage agendas end-to-end (prep, logistics, comms, attendees), act as a gatekeeper for leadership time, and help run key Product cadences including planning, QBRs, reviews and offsites. The role is hybrid and requires regular in-office presence to support leaders and collaborate seamlessly with other EAs and cross‑functional stakeholders.
As an EA at Trainline, you will…
- Agenda management; keep ahead of potential scheduling conflicts; using initiative to find solutions and communicate changes in a timely manner
- Act as a gatekeeper for leaders’ time, balancing strategic priorities with operational realities
- Inbox management and correspondence
- Support Product leadership rhythms such as planning cycles, QBRs, reviews and offsites
- Travel management including flights, trains, taxis, arranging visas and accommodation
- Creation and execution of cost‑effective, detailed travel itineraries
- Event planning both in‑house and offsite
- Project support as required
- Support for new staff
- Expense management and reporting
- Work cross‑functionally with Engineering, Data, and Commercial
- Handle sensitive and confidential information with discretion and sound judgment
- Build strong relationships with other EAs and stakeholders to coordinate seamlessly at pace

- Experience supporting at Director/C‑Suite level
- A self‑starter who has experience working autonomously within a fast-paced Technology focused company with an ever‑changing and pressurised environment
- Understand the need to prioritise and plan; however, be agile and comfortable enough to react to ever changing landscapes, business demands, and can make the step change seamlessly in a tech driven organisation
- Accustomed to the demands of multiple Executives requiring conflicting changes simultaneously. Able to work under pressure to strict deadlines and manage workload effectively under very demanding conditions.
- Ability to organise and prioritise with strong attention to detail
- Able to build strong relationships across the business with both internal and external stakeholders
- Strong prioritisation skills and sound judgement
