The predicted salary is between 30000 - 40000 £ per year.
Provide a high level of administrative assistance to EST program. Supporting team members by providing administrative support, including:
- Photocopying, filing, scanning and printing of documents
- Document management of student records
- Organising equipment
- Managing EST inbox
- Timely and accurate data entry
- Ensuring accurate reporting of evaluation, attendance and training data through effective collecting and compiling of results
- Liaise with clients, students and staff members in a prompt, courteous and effective manner, ensuring a high level of customer service is provided
- Managing inbound and outbound calls to and from participants to engage in the EST programs
- Managing various databases such as online attendance, current activities, EST Sharepoint etc.
- Contacting participants (via phone, emails and SMS) to attend training and following up non-attendance
- Advising/sending attendance reports to providers
- Collating and reviewing guideline specific documentation in a timely manner
- Supporting coaches with everyday queries
- Internal calendar management
- Prepare and manage the distribution of resources
- Emailing and producing participant feedback report to assist EST performance review
- Assisting in course planning and trainer scheduling
- Monitoring industry awareness log and providing feedback to EST Manager
- Ensuring the records for claims are accurate and audit-ready
- Completing various additional tasks as required by EST program manager & RTO coordinator
Selection Criteria:
- Proficiency in the use of Microsoft Office products, in particular Word, Excel, PowerPoint and Outlook, with accurate word processing and data entry skills
- Experience working with Reporting program
- Sound knowledge of administrative systems and procedures, and proficiency with office technology
- Highly developed written communications skills with the ability to maintain strong attention to detail and take pride in the quality of work produced
- Effective verbal communication and interpersonal skills, with the ability to liaise with people at all levels in an informative, accurate and positive manner
- Ability to prioritise, organise and complete work within established deadlines, and to maintain a consistent level of professionalism
- An ability to work effectively within a busy team environment, and also to work unsupervised
- Strong client focus and genuine desire to assist team members
- A proactive approach to resolving queries and problems
- A can-do attitude, flexible and mature approach to work tasks, and a willingness to learn
Qualifications:
- Previous experience in a similar role
- Experience working in a professional environment
- Certificate in business/office administration (highly regarded)
