About the Role
Reporting to the Region Manager, you will provide high-quality customer service, respond to enquiries, and support the work of our staff team and lead volunteers.
Main Responsibilities
- General Administration
- Undertake a range of office duties including answering phone calls, responding to emails and greeting visitors.
- Respond to general enquiries from volunteers and external contacts, directing queries to appropriate colleagues or lead volunteers.
- Maintain accurate records and ensure only current documents are stored and used.
- Team Support
- Provide administrative support to region office staff members across a variety of tasks and projects.
- Contribute ideas for continuous improvement and work collaboratively as part of the region team.
- Event & Operational Support
- Provide reception and administrative support at events, trainings and meetings, including room set-up, printing, refreshments and equipment checks.
Role-Specific Experience & Skills
You will have experience of:
- Working in an office environment or administrative role.
- Delivering a high level of customer service via phone and email.
- Using IT and communication systems effectively.
- Providing reception or front-of-house support at events or meetings.
- Managing spreadsheets and/or membership systems to a proficient level.
- Working within data protection and GDPR requirements in a charity or similar setting.
Example Activities
These will vary throughout the period and may include but are not limited to:
- Processing online shop orders (picking, packing, addressing and posting).
- Preparing the bi-weekly region team update (adding content to email template).
- Supporting the Region Archive Shop by photographing items and preparing content for upload.
- Setting up rooms for meetings and events; preparing refreshments and printing materials.
- Administering awards nominations, including collating citations and maintaining records.
- Supporting Chief Team invitations administration (tracking invites, responses and attendance).
- Managing store cupboard tasks such as checking first aid kits and labelling storage boxes.
- Packing or posting materials for events or region-wide mailouts.
