The Site Administrative Assistant provides essential administrative support to the Production & Logistics function, ensuring accurate SAP processing, stock control administration, purchasing support, and maintenance of production-related documentation and records. The role requires strong organisational skills, attention to detail, and the ability to process and manage data efficiently to support operational and analytical business requirements.
Responsibilities and Qualifications
- Previous experience using SAP within a production or manufacturing environment
- Experience raising work orders and performing accurate data entry
- Good working knowledge of Microsoft Office applications, particularly Excel
- Strong numeracy and literacy skills
- Excellent organisational and communication skills
- Ability to work both independently and as part of a team
- High attention to detail and accuracy
- Adhere to all Tradebe policies, procedures, and health & safety requirements, ensuring all documentation is completed accurately
- Ensure compliance with all relevant regulatory requirements relating to waste transfer documentation
- Raise purchase requisitions and purchase orders (POs) within the SAP system
- Maintain communication with purchasing managers regarding delivery schedules and changes to expected delivery dates
- Ensure all incoming goods are accurately booked into the site booking system
- Process all stock movements (bulk materials and consumables) through SAP for Production and QC departments
- Maintain document links for production spreadsheets and scanned records
- Raise SAP documentation for internal stock/material movements and process completed paperwork
- Input production overtime data from shift managers into payroll systems
- Raise SAP orders and complete documentation for bulk waste disposals
- Maintain training record files and registers for production personnel
- Maintain purchasing and delivery tracking spreadsheets (POs, expected and actual dates)
- Ensure chemical consumables are correctly booked into SAP and reflected in stock systems
- Maintain transport documentation for goods in/out
- Report administrative near misses via company reporting tools
- Update KPI spreadsheets relating to ageing stock for Planning Manager review
- Proactive and reliable approach to work
