We’re looking for a London based Executive Assistant to support our Co founder and CCO, Matt Herbert, during a period of parental leave cover. But this isn’t just about keeping things ticking over. This is a rare opportunity to help shape how a high growth founder and commercial leader works at scale.
As EA, you’ll bring calm, structure, and clarity to a fast paced, global role. You’ll manage core responsibilities with excellence, and also help co design and implement smarter systems to reduce noise, unlock focus, and evolve how Matt operates as a leader. You’ll have the trust and autonomy to run point across scheduling, comms, prep, and operations, while also helping build a more scalable, AI and systems enabled executive workflow.

The opportunity

    • Own Matt’s calendar, meeting cadence, travel, and inbox in a way that reflects shifting priorities across partners and internal leadership
    • Draft and manage communications with clarity and tone matching, including emails, Slack, LinkedIn, and meeting follow ups
    • Proactively prepare briefing docs, agendas, and meeting notes, using available context and anticipating needs
    • Coordinate and track follow ups across multiple internal and external stakeholders
    • You’ll work with Matt to evolve how he operates: Design daily and weekly executive rhythms using tools like Notion (for example weekly planning, priorities, delegation, reflection)
    • Use AI tools to automate tasks like comms drafting, inbox filtering, daily briefs, and meeting prep
    • Implement and maintain smart systems for scheduling, task tracking, travel, internal comms, and more
    • Proactively reduce noise and cognitive overhead so Matt can focus on high leverage priorities
    • Act as a grounded, level headed presence in fast paced moments
    • Sense and filter inbound requests and distractions with context and care
    • Build trust quickly with the rest of the Tracksuit leadership and teams

    • You’ve supported senior executives or founders in a high trust role, whether as an EA, business analyst, operations associate, or similar, and know how to keep high stakes work moving with clarity and calm
    • Are calm under pressure and bring clarity in moments of ambiguity
    • Are fluent in modern tools and AI technologies, and excited to design, implement, and optimise better systems
    • Have excellent written communication and can mirror tone across contexts
    • Thrive in a detail heavy, execution focused role with room to grow the playbook
    • Know when to move fast and when to go deep, and can handle competing priorities with maturity
    • Have supported remote or global execs and know how to work across timezones
