The position of Head of Operations is a pivotal role responsible for meticulous cost management and service delivery across all projects. This role involves leading the operations team, monitoring and approving cost controls, performance metrics, and overseeing daily operations. In addition, the role includes reviewing and approving supplier invoices, managing project budgets, conducting financial analysis, and collaborating with departmental managers to ensure projects are delivered on time, to the highest of standards and within budget. The ideal candidate will have a strong background in cost control, project management, and operations, excellent leadership and communication skills, financial acumen, and the ability to manage multiple priorities in a fast-paced environment.
Primary Responsibilities and Operations Management:
- Lead the operations team through the project life cycle by planning, budgeting, scheduling and tracking all projects and service lines.
- Initiate, coordinate and implement new project specifications and delivery requirements as per contractual arrangements.
- Implement controls and documentation to track and manage ongoing projects and service lines.
- Ensure all projects and operations are delivered to the very highest levels and in-line with company integrated management system.
- Arrange project kick-off meetings to ensure all teams and required resources are assigned.
- Ensure quality across service lines by overseeing the performance and evaluation programme, collating actionable data to identify opportunities for improvement, near misses and positive feedback.
- Oversee the in-office operations team to ensure delivery objectives are met.
- Set-up and manage ongoing financial controls and measures to validate deployed team invoices and expenses, providing the first level of screening prior to financial submission and payment.
- Ensure the operations team meet deadlines, objectives and assigned work activities, as per operational timelines.
- Able to compile project plans and cost management procedures.
- Support the compliance team in ensuring projects are delivered in-line with local laws and regulations.
- Act as the conduit between the Strategic and Operational functions from an operational and commercial perspective.
- Ensure regular meetings are scheduled with managers to effectively manage cost control and operational delivery, fostering collaboration and continuous improvement.
- Support the BoDs during crises, both internal and external.
Office Management:
- Act as the office manager and ensure HQ remains operable.
- Ensure staff discipline and timeliness, supporting HR with staff management.
- Support the Duty Ops rotation.
- Coordinate meetings, both operational and internal planning.
- Ensure team members are supported in their career progression, maintaining ongoing CPD programmes.
Essential Experience:
- Significant experience in operations management, cost control, and project management is crucial.
- At least 5 years in a senior management role.
- Extensive experience in the successful delivery of multiple projects.
- Track record of working with management systems.
- Plan and procedure development and implementation.
Desirable Experience:
- HR and business administration.
- Security risk management experience.
- Emergency management experience, domestic and international.
Desirable Qualifications:
- A degree in Business Administration, Finance, Accounting, Operations Management, or a related field is desired.
- APM/Prince2 or equivalent.
- NEBOSH or similar.
- Professional aligned qualifications.
